Production Coordinator (6 Month Contract)

GENERAL SUMMARY:
Working in a collaborative team this role will be responsible for providing production support for all the commissions, co-productions and Ad Sales content deals generated in the APAC region from development through to final delivery of the content ensuring contract compliance primarily from a financial and deliverables perspective.
Key to this role will be exceptional inter-personal skills, as the Production Coordinator will be helping to drive the constant communication flow between multiple stakeholders internally and externally. Equally essential will be the ability to prioritise and deliver consistently and calmly under pressure.
RESPONSIBILITIES:
Reporting to the Senior Director Production Management APAC, this role will be one of the primary sources of support to the Discovery Directors and Executive Producers across all commissions, co-productions and Ad Sales content deals for APAC. The Production Co-ordinator will be responsible for:
• Tracking the production, delivery, promotional and financial elements of commissions and co-productions in APAC to ensure data integrity and that trackers are updated accurately ahead of key meetings.
• Helping finalise contract exhibits and payment schedules under the direction of the Senior Director of Production Management, APAC.
• Ensuring key programming/production processes are followed as outlined by Senior Director of Production Management, APAC.
• Acting as a key point of contact and support for producers taking responsibility for programme related matters such as producer queries re the portal, upload of treatments and clips, clock numbers, end credits, program layout, cameras, tech spec and rights waivers.
• Acting as a key point of contact between external Production Companies and all internal departments such as programming across all regions, scheduling, press and marketing, business affairs, music library and footage source, network operations, languaging, reversioning and finance. Be responsible for updating all internal departments, where relevant, re any key changes in production.
• Liaising between producer and finance department on production related payments. Taking responsibility for checking with EP and HOP that the production milestones tied to payments are delivered and approved before requesting the release of funds.
• Tracking air dates and update Executive Producer and the Senior Director of Production Management where appropriate.
• Reviewing delivery of all program deliverables for contract compliance ahead of final payment and closing down projects following release of final payment.
• Connecting with the wider international/global Coordinator group e.g. attending meetings as required to share common issues and collaborate with peers across the wider group.
REQUIRED SKILLS:
• Proven understanding and experience in media production process and current industry standard practices
• A highly organised, self-starter who has the ability to prioritize duties effectively. A high level of organisational ability, administrative and time management skills are necessary in order to succeed in this role along with the ability to work across multiple concurrent projects under tight deadlines.
• A team player who can build productive relationships – must be able to interact effectively with the management team, corporate partners and members throughout the organisation. Establishes rapport and demonstrates sensitivity to the agenda and priorities of others.
• Strong interpersonal, writing and communication skills with an emphasis on customer service; demonstrates motivation and enthusiasm with a commitment to achieve goals.
• Recognises when to consult, seek consensus or make a decision alone. Critically evaluates relevant information to support decision making and provides documentation if required.
• Proficiency in common production applications such as Excel and Outlook. Knowledge of the financial system SAP would be helpful.
• Fluency in one of the Asia Pacific languages an advantage.
