Managing Editorial Assistant, Riverhead, Portfolio, Sentinel, Optimism, & Thesis (Open to Remote)
The Penguin Publishing Group, a division of Penguin Random House, seeks a Managing Editorial Assistant to join its team. The role would provide administrative and managing editorial support for an impressive list of literary fiction and nonfiction. This position offers the opportunity for growth and learning about the overall managing editorial process and the inner workings of a publishing office.
Daily responsibilities include all-around project support in the creation of the Riverhead and Portfolio/Sentinel/Optimism Press/Thesis lists. Working together as a team, the Managing Editorial department tracks various pieces of the schedules for manuscripts, cover design, and marketing materials to ensure that each manuscript becomes a finished book, considering everyone's needs and negotiating a process that works for everyone. Given that, this job is an exciting opportunity to get an overview of the publishing process and act as a point of contact with various departments across Penguin Publishing Group, including but not limited to editorial, production, design, and marketing.
Applicants should be highly motivated, superbly organized, and enthusiastic about publishing. We are looking for a detail-oriented, meticulous self-starter who enjoys literary fiction and nonfiction and is invested in the process of bringing them to a wide readership, has strong analytical skills, communicates clearly, and will be an active participant on a collaborative team. The ideal candidate will manage a diverse set of responsibilities efficiently and effectively and is comfortable asking for help when needed.
Specific responsibilities include:
• Routing and tracking jacket and cover copy materials to other departments for approval and maintaining due dates in the database
• Setting schedules for, routing, and tracking bound galley materials
• Maintaining the schedule for weekly cover meetings with the art and editorial departments, creating agendas, coordinating materials, and keeping notes
• Reviewing titles up for reprint and compiling lists of needed cover and text corrections
• Watermarking files for editorial, marketing, publicity, and others as requested
• Assisting in tracking Netgalley epub schedules
• Updating data in SAP and the FileMaker Pro database
• Providing general administrative support to the Managing Editorial department, backing up colleagues, and assisting with special projects as needed

• Superb organizational and time management skills
• Outstanding ability to manage multiple priorities in a deadline-driven environment
• Solutions-focused when met with challenges and can comfortably adapt to changes and anticipate needs once familiar with the role
• Proficiency with Microsoft Word, Excel, and Outlook
• Familiarity with the Chicago Manual of Style
• Familiarity with FileMaker Pro, Lytho, Adobe Acrobat Pro, and/or SAP a plus
The salary for this position is $51,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
