Job Description
Hearst Magazines is seeking an Executive Assistant to support the SVP of Sales.

The ideal candidate must be able to juggle multiple requests and operate with poise and grace under pressure. They must be extremely organized, have excellent communication skills, and possess a positive, can-do spirit. The Executive Assistant will maintain a professional and personable decorum at all times and is expected to be a team player and set a leadership example in the office.

Resonsibilities:

What You'll Do
• Proactively manage the SVP's schedule throughout the day, ensuring they are prepared in advance for meetings; confirm appointment times, location and attendees.
• Assist in managing the office – order supplies, schedule group activities, be the point of contact to building management with any maintenance issues and help to keep our team running smoothly.
• Arrange and coordinate meetings and events; schedule reservations.
• Assist with booking travel, proactively manage travel; must present solutions when travel arrangements change.
• Manage expenses; complete and submit expense reports monthly.
• Submit timely and accurate personal time sheets as required.
• Manage reception of guests and clients; greet visitors and direct food delivery/packages.
• Maintain discretion and confidentiality around all information and activity they are privy to, recognizing that they represent a senior leader of the Sales Department.

• Strong time management skills, able to prioritize and meet deadlines
• High-level energy and self-starter
• Exceptional attention to detail
• Excellent communication skills, both verbal and written
• Strong calendar management and extensive travel skills required
• Must be pro-active and solution oriented
• Proficient in Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
• Bachelor's Degree

The base salary for this role is between $66,000-$76,500. The actual base pay offered is dependent upon many factors, such as: transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.
