Job Description
WHO WE ARE

PS creates inspirational and accessible lifestyle content that helps our audience live more balanced and fulfilling lives. Our coverage is rooted in real-life stories, first-person perspectives, and expert-backed advice. We embody positivity, honesty, and straightforwardness across our content, from hype-checking the latest beauty treatments and workouts to curating the products and trends worth your time and money.

PS is part of Vox Media, the leading modern media company. We guide our audience from discovery to obsession. We inspire essential conversations about what's now, what's next, and what's possible. As a community of journalists and storytellers, business professionals, creators and technologists, we believe it is a moral and business imperative to amplify voices: to cultivate diversity, equity, and inclusion throughout our organization and media. This applies to our candidates, our teams, our storytelling, our creative work, and our platforms, products, and partnerships.

We're looking for a strategic, process-oriented Editorial Operations Coordinator to support editorial operations across PS. As a member of the editorial operations team, the Editorial Operations Coordinator will work closely with our Managing Editor to help shape editorial processes for PS, support editorial programs, act as liaison between the editorial department and other departments across Vox Media, own management and tracking of editorial tools, and support contracts and invoicing. The Editorial Operations Coordinator may also be asked to partner with teams outside of editorial to execute projects that are vital to the brand.
Our ideal candidate is a meticulously organized person with keen attention to detail and an ability to be flexible. This role reports into the Managing Editor.

WHAT YOU'LL DO
• Support and shape editorial processes across PS in partnership with the Managing Editor and Head of Content, including contract processes, new hire onboarding, editorial workflows, and more.
• Provide operational support for sponsored programs, including requesting project codes, setting up contracts and freelance budgets, conducting quality-assurance checks for editorial destinations, and assisting Managing Editor (as needed) with timelines, project management, and launch-day tasks.
• Manage new hire onboarding, including scheduling, tools access, and some training, as well as departing talent offboarding.
• Support scheduling for PS brand meetings, including monthly all-hands meetings, brand-wide trainings, and team on-sites.
• Act as liaison between editorial and product teams for bugs and SOS requests on the CMS, and provide quality-assurance support on larger engineering projects.
• Oversee operations for freelance contributors, including Worksuite trainings, byline creations, payment approvals, troubleshooting, and more.
• Support upkeep and management of current editorial operation tools.
• Support day-to-day contingent labor management on Worksuite and Coupa (photographers, copy editors, etc.), including the creation of custom agreements, approval of invoices, and more, with guidance from Managing Editor.
• Support Airtable workflow, including access, training, and troubleshooting.
• Own community alias, overseeing reader communication to PS community email and routing emails to leads accordingly.
• Support Head of Content and Managing Editor with expenses and invoice processing in Concur.

Success will look like:
• Effectively build and ensure adherence to editorial processes and guidelines across PS and Vox Media
• Ownership and execution of editorial operation projects
• Effectively partner with our editorial, social, video, legal, engineering, and people teams, as well as PS leadership

WHO YOU ARE
• 1+ year of editorial experience or in a strategic editorial operations role
• Experience with establishing (or at least closely following) guidelines and processes
• Exceptional organizational skills, highly collaborative and solution oriented
• Strong writing and communication skills
• Ability to thrive in a fast-paced, collaborative team environment
• Proficiency in creating trainings, presentations, etc.
• Writing and editing experience

If you think you have what it takes, but don't meet every single point in our job posting, please apply with a cover letter to let us know how you believe you can bring your unique skills to the Vox Media team or get in touch! We would love to have a chat and see if you could be a great addition to our team. We've hired chefs who became editors, DJs who became UX designers, and sommeliers who became writers.
