Managing Editorial Assistant/Assistant Managing Editor (Open to Remote)

The Penguin Publishing Group, a division of Penguin Random House, seeks a Managing Editorial Assistant and an Assistant Managing Editor to join its team. Each of the roles would provide administrative and managing editorial support for an impressive list of commercial fiction and nonfiction. These positions offer the opportunity for growth and to learn about the overall managing editorial process and the inner workings of a publishing office.

Daily responsibilities include all-around project support in the creation of the Riverhead and Portfolio list, or the Dutton/Plume/Tiny Reparations list. Working together as a team, the Managing Editorial department tracks various pieces of the schedules for manuscripts, cover design, and marketing materials to ensure that each manuscript becomes a finished book, considering everyone's needs and negotiating a process that works for everyone. The ideal candidate will manage a diverse set of responsibilities efficiently and effectively and is comfortable asking for help when needed.

The Role:
• Routing and tracking jacket and cover copy materials to other departments for approval and maintaining due dates in the database
• Setting schedules for, routing, and tracking bound galley materials
• Maintaining the schedule for weekly cover meetings with the Art and Editorial departments, creating agendas, coordinating materials, and keeping notes
• Reviewing titles up for reprint and compiling lists of cover and text corrections needed
• Watermarking files for editorial, marketing, publicity, and others as requested
• Assist in tracking Netgalley epub schedules
• Updating data in SAP and the FileMaker Pro database as needed
• Providing general administrative support to the Managing Editorial department, backing up colleagues, and assisting with special projects as needed

The Essentials:
• For the Assistant Managing Editor, a strong history of working with metadata, title schedule management, and/or reprint corrections in trade or academic publishing is preferred
• Exceptional attention to detail, proofreading skills, the ability to prioritize, and strong follow-up skills
• Excellent written and verbal communication skills
• Ability to work both independently and collaboratively and meet deadlines, take initiative, and problem-solve creatively
• A team player with the ability to build relationships with other departments. A collaborative spirit is essential.
• Superb organizational and time management skills
• Outstanding ability to manage multiple priorities in a deadline-driven environment
• Solutions-focused when met with challenges and can comfortably adapt to changes and anticipate needs when needed once familiar with the role of a Managing Editorial Assistant
• Proficiency with Microsoft Word, Excel, and Outlook
• Familiarity with the Chicago Manual of Style
• Familiarity with FileMaker Pro, InMotion, Adobe Acrobat Pro, and/or SAP a plus

The salary for the Managing Editorial Assistant is $48,000 and for Assistant Managing Editor is $53,000. Full-time employees are eligible for our comprehensive benefits program.
