Position Overview

The Sales Assistant provides essential administrative and operational support to the sales team, ensuring smooth client management, accurate project coordination, and effective communication with internal and external stakeholders. This role is pivotal in maintaining high standards of service while contributing to the efficiency and success of sales operations.

Role and Responsibilities

Administrative and Client Support:
• Maintain and regularly update the client database.
• Assist the sales team with administrative tasks and daily operations.
• Serve as a point of contact for clients on administrative, billing, and management matters.
• Coordinate contracts and documentation with the legal department and senior management.

Project Coordination
• Prepare and review project budgets, ensuring accuracy and compliance.
• Input budget details into management systems and track internal costs and external expenses.
• Update and follow up on internal reporting requirements.
• Communicate and coordinate with other departments, including production and accounting.

Billing and Reporting
• Develop and manage payment schedules for each project.
• Oversee monthly project invoicing to align with forecasts.
• Monitor and report on billing activities to the finance department.
• Generate detailed monthly, quarterly, and annual reports.

Market Engagement
• Provide support for industry events, market research, festivals, and ad-hoc activities to enhance visibility and client engagement.

Key Requirements

The ideal candidate will have a background in audiovisual production, post-production, or distribution industry.as well as:
• Familiarity with administrative processes, budget preparation, and billing practices.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficiency in generating and analyzing reports.
• Detail-oriented with a focus on accuracy and efficiency.
• Ability to collaborate effectively across departments.
