Your New Role...
The P&C Transformation & Org Effectiveness team define & deliver large scale transformation programmes & initiatives across to enable delivery of the People & Culture strategy and support the organizational strategy.
The team works with People & Culture leaders to help shape, deliver and implement P&C transformation initiatives enabling operational efficiencies, cost optimization, business process improvement and automation to deliver return on investment.
The Office of P&C Transformation and Org Effectiveness will play a pivotal role in supporting the coordination of various transformation and change management related activities, supporting a range of key project teams. The Office of Transformation & Organization Effectiveness will work closely with project managers and change managers to assist in driving organizational change.
Your Role Accountabilities...
Project Support
• In collaboration with Transformation & Org Effectiveness team and with P&C leadership (where required), maintain a cohesive transformation roadmap that aligns with the organization's strategic objectives.
• Coordinate and schedule regular meetings, workshops, and working sessions for transformation teams to share progress updates, insights, and challenges.
• Manage the set-up of key project management structures (document management, project meetings; distribution lists; status reports; RAID logs; governance meetings)
• Maintain documentation and records related to transformation initiatives, ensuring easy access for stakeholders and senior leadership.
• Assist in tracking project milestones, deadlines, and deliverables for transformation initiatives.
• Prepare meeting agendas, take meeting minutes, and distribute action items to relevant team members.
• Support the preparation and distribution of transformation-related materials for meetings and presentations.
Communications Support
• Act as a central point of contact for transformation leaders, facilitating cross-functional collaboration and information sharing.
• Manage key communications channels/flow e.g. creation and management of project inboxes; creation and management of distribution lists, drafting correspondence/responses to queries
Change Management Support
• Assist in the creation of presentations, reports, and communication materials to update and stakeholders on transformation progress.
• Support the development/formatting of training materials and resources to help teams understand and adopt new processes and practices.
Continuous Improvement
• Contribute to the development and implementation of best practices, tools, and methodologies for managing transformation initiatives; supporting project management and organizational effectiveness delivery
Logistics, Calendar and Schedule Management
• Coordinate and manage the Transformation leader's calendar, scheduling meetings, appointments, and events.
• Ensure timely reminders and follow-ups on key tasks, meetings, and deadlines.
• Arrange travel arrangements and accommodations as needed
• Coordinate logistics for workshops, training sessions, and events related to transformation projects.
Qualifications & Experience...
• Bachelor's degree in a relevant field (such as Business Administration; Organizational Development, HR) or equivalent practical experience.
• Strong organizational and coordination skills, with the ability to manage multiple projects and priorities simultaneously.
• Excellent interpersonal and communication skills, both written and verbal.
• Proficiency in project management tools and software is desirable
• Ability to work collaboratively with cross-functional teams and build positive relationships.
• Detail-oriented and capable of analyzing data and reports to provide meaningful insights.
• Problem-solving mindset with the ability to proactively identify challenges and propose solutions.
• Familiarity with change management methodologies and principles is a plus.
• High level of professionalism and confidentiality when working with sensitive information.
• Proven ability to adapt in a fast-paced and dynamic environment.
• Fluency in English, both written and spoken.
