Job Description

UTA Foundation is seeking an Assistant to support to support the head of the UTA Foundation in our Beverly Hills office. Candidates must have the ability to proactively function under tight deadlines, experience managing daily schedules/calendars, preparing for meetings, in a fast-paced work environment. Qualified candidates must have precise, detailed-oriented organizational skills, as well as excellent communication and writing abilities. This individual will support the Global Head of Philanthropy for the UTA Foundation, a 501(c)3 non-profit private foundation formed by UTA. The Foundation works to engage employees in effective and rewarding philanthropic activities and opportunities across the globe. The Foundation also works with UTA's clients to amplify their social-impact work, develop sustainable partnerships to deepen engagement, and provide strategic guidance on engagement, opportunities, and requests. The agency is a fast-paced and demanding company that requires a driven and highly organized individual who is able to work quickly while exercising good judgment as well as work well with a team.

Job Responsibilities
• Phone management
• Calendar management, scheduling meetings, booking conference rooms, etc.
• Maintain and organize databases on behalf of the department; troubleshoot and streamline where appropriate (experience with Salesforce and/or Pipedrive a plus)
• Conduct research and analysis of non-profit organizations in support of projects
• Create presentations, case-studies, and maintain various grids for the Foundation Department
• Support Foundation department in administrative duties when necessary
• Expert in preparing presentations (PowerPoint), spreadsheets (Excel), & documents (Word)
• Strong project management skills, used to proactively build processes and programs to benefit your executive
• Drafting correspondences
• Liaising with internal staff at all levels and external clients & partners

• Experience with an entertainment or non-profit organization
• Highly professional with excellent judgment
• Strong ability to liaise with key senior-level executives
• Ability to work under pressure and in a fast-paced environment

• Must be able to maintain a high level of discretion and confidentially
• Highly proficient technical skills with Microsoft Office suite (Excel, Word, PowerPoint)
• Familiarity with video conferencing systems (Zoom, Slack, Concur, and Workday)
• Proficient in social media (Instagram, Twitter)
• Capable of managing several projects simultaneously with minimal supervision
• Minimum of 1+ years working in an assistant capacity
• BA/BS from an accredited University or College strongly preferred
