Job Description
We are seeking an experienced Administrative Assistant to join our growing team. This position will be responsible for providing support to the Directors of Employee Transportation & Aviation, Director of CREWS UCAN and Director of Workplace Programs UCAN. This role will be based in Los Angeles on a hybrid schedule (Three days in office per week).

Responsibilities:
• Provide administrative support to 3 Directors in Enterprise Ops.
• Provide support to the overall Aviation, Transportation and Workplace teams in UCAN.
• Manage complex calendars for a growing team, including scheduling internal and external meetings with multiple parties across multiple time zones
• Manage general administrative duties, including processing and tracking invoices, facilitating team and visitor requests, and ordering supplies
• Build and maintain strong working relationships with executives, department leads and staff, and outside vendors to deliver results based on their needs
• Actively engage in networking within the CREWS and broader Netflix admin community to exchange best practices and innovative strategies.
• Coordinate travel arrangements, both domestically and internationally
• Assist with onboarding of new hires
• Collaborate with executive assistants and admins across teams on various aspects, including conferences and off-site meetings
• Information and Communication Management: Assist in the maintenance of the department's database, org charts and meeting materials (agendas/notes/pre-reads/presentations).
• Organize, attend, and participate in larger team meetings and offsite - support with driving the agenda.
• Coordinate vendor meetings
• Create a positive atmosphere of professionalism and support
• Support team leaders & coordinators with ad hoc projects
• Effectively prioritize and manage workload to support the dynamic needs of leaders, balancing immediate tasks with long-term impactful projects.
• Proactively communicate with leaders and team members, offering and soliciting feedback to ensure alignment and accountability.

Qualifications:
• 4+ years experience as an Administrative or Executive Assistant, providing support to multiple executives at a fast-paced company (experience in an entertainment/tech setting a plus)
• Team player who operates in a team-oriented setting
• Ability to be discrete and maintain confidential information
• Proficiency in Google Suites (Gmail, Drive, Calendar, Docs, Sheets, Slides)
• Self-starter with the ability to multi-task, prioritize and respond accordingly in a fast-paced environment
• Great communicator who can build strong working relationships with vendors, and internal and external partners
• Willingness to continue learning to ensure understanding of current production process and needs
• Strong written and verbal communication skills
• Willingness to take educated risks and think out of the box
• Demonstrates adaptability and flexibility, with a keen ability to adjust priorities based on leaders' needs and organizational goals.
• Open to both giving and receiving feedback constructively, with a focus on continuous personal and professional development.
Our compensation structure consists solely of an annual salary; we do not have bonuses. You choose each year how much of your compensation you want in salary versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The range for this role is $60,000 - $240,000.
