Job Description
Key Responsibilities:
• Manage the needs of a multiple department mailroom.
• Receive, sort mail and packages, categorize and distribute mail to multiple floors.
• FedEx shipping and ordering of materials.
• Contacting the FedEx customer service hotline with shipping inquiries.
• Deliver and pickup mail and oversized packages – Must be able to lift and carry over 40lbs.
• Conduct on lot deliveries and pickups – Must have a valid driver's license to operate a golf cart.
• Managing incoming third parties' vendors.
• Routinely order, stock and maintain office supplies to ensure the mail room is stocked with basic needs.
• Routinely order, stock and maintain multiple kitchens, storage rooms, and pantries on different department floors.
• Routinely order, stock and maintaining copy rooms and paper supply located on all department floors.
• Food and beverage orders & processing of inventory control.
• Supply processing, requisitions, and inventory control.
• Assist in office move requests – as needed.
• Submit and manage maintenance requests for 10UCP – as needed.
• Record keeping and billing for purchases.
• Work with UPHE finance to submit all vendor invoices for payment.
• Performs reconciliations of our 3rd party vendor accounts quarterly to ensure we are getting the best pricing for services rendered (Aramark, Alta Food Craft and Bon Appetit as well as building maintenance services) including upgrading and maintenance on all the pantry machines.
• Works closely with sourcing to make sure we are in line with their requirements for purchasing and ordering from our Purchase Manager system.
• Monitors budget and mailroom expenses, ensures compliance with safety regulations and company policies
• Collaborates with other departments to streamline logistics and communication
• Prepares reports on mailroom activities, performance metrics and inventory management
• Provide coverage for the Workplace Operations mailroom clerks within UHE & Film- as needed.
Qualifications
Basic Qualifications
• 2+ years of experience working in a fast-paced, dynamic and high-volume corporate administrative/mailroom role within the entertainment industry, with some analytical responsibilities.
• Must be able to lift and carry over 40lbs.
• Familiarity with FedEx shipping system preferred.
• Proficiency with PC and Microsoft Office software is mandatory.
• Ability to submit and reconcile invoices for all vendor purchases.
• Excellent verbal and written communication skills.
• Strong follow through and able to anticipate issues before they arise.
• Ability to multitask and juggle many competing priorities efficiently.
• Excellent critical thinking skills.
• Detail oriented.
• Strong organizational skills.
Eligibility Requirements
• Must be willing to work in Universal City, CA.
• Must be willing to join Local OPEIU L174 Union.
• Must have unrestricted work authorization to work in the United States.

Additional Requirements:
• Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
• Hourly Pay Range: $20.508 - 25.618
