THE ROLE
Insomniac is looking for a Staffing Specialist on our Guest Experience team. This position is responsible for a variety of staffing roles as it pertains to the Ground Control & Headliner Experience department. The primary focus of this position is to consistently ensure fully developed rosters of employees, using set deployments as a reference. This is a hybrid position.
RESPONSIBILITIES
• Build line staff rosters for each event based on deployment information provided by the department head
• Review staff performance history and position preferences to align staff placements with areas of best fit
• Send offer letter emails outlining position information and call times
• Consistently audit acceptance/decline rate for each show and send additional offers as needed to maintain full deployments
• Partner closely with the Insomniac HR Department to ensure timely completion of various checks and balances as it pertains to staffing
• Ensure all department personnel are cleared to work by HR before sending offers
• Coordinate new department hires with HR to begin the new hire paperwork process
• Cross-reference offer letter submissions and drops with HR clearance documents
• Collect performance data, conduct performance reviews and deliver feedback to seasonal staff as needed
• Monitor the Ground Control & Headliner Experience email account for staffing related communications and ensure all inquiries are responded to within 24 hours
• Maintain organization in the department staffing database by cross-referencing records, consolidating interest form submissions, updating employee data, and more
• Participate in virtual and in-person recruiting events to attract and engage potential candidates and community partners
• Review incoming new staff applications and resumes, cross-reference with existing records, and place applicants into respective decision pools
• Organize and recruit a team of interviewers and all necessary tracking documents for department hiring periods that require multiple interviewers operating concurrently
• Post and engage on Ground Control social media accounts to raise brand awareness
• Develop branding strategies to promote an online presence
• Create posting calendars to maintain deadlines and consistency in posting/outreach
• Address complex staffing situations on site at festivals to create suitable and effective solutions
• Compile detailed after-action reports after every show to promote growth for the Ground Control & Headliner Experience department
• Train and provide support in onboarding team members, clients, vendors and partners when needed
• All other projects and initiatives as identified
QUALIFICATIONS
• 4+ years of relevant work experience
• Ability to balance multiple competing deadlines and tasks in a controlled and effective manner
• Previous experience managing projects and groups of people is essential
• Must be able to professionally engage anyone in a courteous manner and de-escalate unpleasant situations with Headliners and team members
• A reasonable level of physical fitness is required for this position:
• Must be able to stand for four hours at a time and walk long distances
• Must be able to lift 20 pounds
WORK ENVIRONMENT
• Must be willing to travel to work during holidays, evening and weekend hours, as required, to meet deadlines
• Must be able to tolerate loud noise levels and drastic temperature climates while working on site at various event location
• Must be able to work in open concept office space
