Production Manager, Fashion

Job Description

I. Position Summary:
• General:
• Work within the IMG Fashion production team to produce successful fashion events by working with event sites, vendors, city officials, IMG Fashion employees and other relevant parties.
• Create and distribute project decks as needed
• Financial:
• Procure, process and track all invoices and budget from season to season.
• Maintain expense reports and corporate credit card
• Work with event director to maintain accurate cost forecasting/ budget pre event, update costs as estimates are received by vendors
• Responsible for reconciling the NYFW event budget after each season
• Event / Project specific:
• Develop event team structure and support Event Director in sourcing qualified staff to fill team roles
• Send out, obtain signatures and return executed copies of staff agreements and keep records
• Coordinate gathering information for production schedule for all site activity, including but not limited to: build, break down, vendors, clients, deliveries, trucking, street activity, staffing, shows and venue activity.
• Support Event Director on brainstorming & solution development relating to, but not limited to site operations, press, credentials, guest access, security health and safety.
• Send out, obtain signatures and return executed copies of vendor agreements and keep records
• Manage the oversight of onsite staff (Command Center, NYFW production team, PT's)
• Develop and circulate daily on site schedule to all relevant event personnel
• Maintain Seasonal Event Master spreadsheet ensuring information is current
• Oversee signage and credentialling artwork and production ensuring costs are within budget and production is on time for delivery and install
• Source offsite event storage and Command locations for each season
• Main POC for Command and Site Operations leads
• Communicate to all event vendors and relevant stakeholders pertinent event information, ROS, maps, locations, arrival times, parking information etc
• Work in conjunction with IMG FOH Operations Manager to support site wide use of space planning, credentials systems, staffing needs, security placements, and overall dot map production
• Oversee and manage operational elements such as, furniture rentals, consumable purchasing
• Obtain insurance certificates from all vendors
• Obtain crew lists to be submitted for credentialing
• Manage storage and transportation needs
• Source last-minute event needs
• Maintain fire code on site (exits, signs, fire extinguishers, etc)
• Handle incidents and complete incident reports on site
• Ensure security and FOH manager are aware of upcoming street activity
• Organizational:
• In office responsibilities include but are not limited to, clear and concise filing of past and future seasons, tracking of payments to vendors and from clients, arranging production meetings, research for future seasons and assisting the Production team as needed.
