The Role and What You'll Do:

As a staffing Partner at On Location, you will be integral to our mission of delivering unforgettable experiences in the realm of entertainment and hospitality. Your role will encompass talent acquisition, relationship management, event staffing coordination, performance management, and compliance administration. You will collaborate closely with hiring managers and event coordinators to understand staffing needs, recruit top talent, and ensure seamless execution of events. Cultivating strong relationships with our talent pool, providing ongoing support and feedback, and fostering a culture of excellence will be key responsibilities.

You will be accountable for all administrative duties surrounding the hiring, placement, and payment of all event staff, ensuring all paperwork and essential information is coordinated in advance of each staff member arriving to work at each event. The Staffing Partner should be highly organized with great communication skills and a very strong work ethic.

Talent Acquisition
• Collaborate with hiring managers and event coordinators to understand staffing needs.
• Ensure all job descriptions are up to date and accurate prior to posting.
• Source, screen, and recruit top talent for diverse event roles.
• Collection of all employee information that is needed.

Relationship Management
• Cultivate strong relationships with existing talent pool members.
• Provide ongoing support, communication, and feedback to ensure engagement.
• Conduct regular performance evaluations and gather feedback.
• Maintain clear and effective communication with stakeholders.

Event Staffing Administration
• Manage all administrative duties related to hiring, placement, and payment of event staff.
• Ensure compliance with labor laws and company policies.
• Internally building schedule templates.
• Posting shifts as internal vacancies.
• Maintaining and managing all posted shifts in staffing system, ensuring all applicable information is included.
• Sending offers as needed.
• Working with our payroll provider on temporary agreements for exempt temporary employees.
• Executing contracts for staff vendors, and Independent Contractors.
• Daily auditing of timecards; reviewing completed shifts to ensure employee attendance, correct hours, and manager approval of time, pay, and any expense reimbursements.
• Keep detailed documentation of all administrative tasks related to staffing.
• Maintain accurate records of candidate information and event assignments.
• Ensure all employees are paid timely for work completed.
• Troubleshooting and internal or external payroll related issues.

Event Staffing Coordination
• Schedule and deploy event staff for multiple events.
• Communicate event details and expectations clearly to all staff members.
• Address concerns or issues raised by staff or clients promptly.
• Identify opportunities for training and development.
• Implement improvements to enhance the efficiency of the staffing process.

You Have These
• 2-3 years of staffing/recruiting or event operations experience required.
• A valid passport and ability to travel internationally.
• Must be tech savvy with a proven strong ability to learn and navigate legacy, staffing, and administrative systems including G-Suite and MS Office.
• Adept at multitasking - this position works in a fast-paced high-volume staffing environment. Changes in staffing needs can fluctuate in the moment or as events are occurring which require constant reprioritization.
• High level of acuity - attention to detail is critical when providing information both to staff and internally as events activate and settle. Additionally, payroll processing will require high level of review.
• Exceptional interpersonal skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.
• Continually strive for self-development and discovering better means of accomplishing both personal and professional goals.

We'd Love If You Also Have These:
• Bachelor's degree in administration, Human Resources, or related field.
• Experience in staffing, recruitment or other related field or industry.
• Experience with project management or leading project teams.
• Entertainment Industry or Travel & Hospitality experience welcomed.

Travel:

This position will involve some travel to events and other offices. Ability to travel for work during holidays. This position may require up to 10% travel.
