Coordinator, Creative Talent Development and Inclusion Programs (DE)
The Creative Talent Development and Inclusion (CTDI) department is seeking a qualified candidate for a Coordinator, CTDI opportunity. We're looking for someone who can juggle multiple projects and add support and admin to the team. This position will provide day-to-day administrative support for Disney Entertainment Television's (DET) creative talent programs for television writers and directors (Disney Writing and Directing Programs). Must be able to work in a fast-paced environment and make informed decisions. Must have clear and effective communication skills, and attention to detail are crucial. Previous entertainment industry experience is preferred, and an interest in working within creative talent D&I is required.
Responsibilities:
• Roll calls, answer emails, schedule meetings, maintain calendars
• Assisting with timelines and deliverables related to creative talent programs throughout the year (e.g., application cycles, submission cycles, production cycles, staffing season, professional development, events)
• Coordinate and set up internal and external events (mixers, meet and greets, professional development workshops, master classes, etc.), including tracking attendees, monitoring and sending follow ups, utilizing existing event planning software, booking physical rooms and/or utilizing virtual/zoom room technology
• Leveraging existing databases, creating grids and data sheets tracking current series and projects in development, as well as current and previous program talent
• Coordinating and setting meetings with talent (writers and directors) and executives or producers across DET, including sending/receiving emails, calendaring, sending outlook invites, etc.
• Tracking, maintaining, and sharing program hiring/staffing data and grids, as well as program talent information (scripts, rep info, staffing status, bios)
• Sharing and distributing communications regarding talent programs to creative executives, producers, and senior leaders across DET
• Creating hubs and workspace solutions utilizing existing resources, both externally and internally
• Coordinating vendor payments
• Assist with on-boarding new employees, specifically writers and directors
• Post external social media announcements related to the talent programs; maintain external and internal communications timelines for the programs
• Communicate and interface cross-departmentally with fellow assistants/coordinators at DET's current programming and development teams as needed
• Communicate with external partner organizations/sponsored organizations as needed
• Communicate with program talent as needed
• Prepare program reports and summaries as needed and as requested, including creative notes on scripts
• Report to/work with Director of DET Creative Talent Programs
Qualifications
• Bachelor's Degree or equivalent work experience
• 2+ years of previous administrative office assistant experience at a studio, network, production company or talent agency
• Must be able to work with minimal supervision
• Must work well under pressure
• Demonstrated organizational skills
• Superior attention to detail
• Ability to successfully coordinate multiple projects simultaneously
• Excellent communication skills, both written and verbal
• A passion for a career in creative D&I and/or within television
• Working knowledge of Outlook, Word and Excel
Preferred Qualification
• Previous experience in program management or event execution
• Previous experience working with high-level executives and creative talent
The hiring range for this position in Burbank, CA is $51,120.00 to $70,290.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
