Job Title: Office Admin
Job Summary:
We are seeking an experienced and proactive Office Administrator to manage and oversee day-to-day office operations. The ideal candidate will have 1-3 years of experience in handling office administration tasks, including managing facilities, corporate insurance, and travel arrangements. The Office Administrator will play a key role in supporting various departments and ensuring the smooth functioning of administrative duties.
Key Responsibilities:
• Good knowledge of corporate & general Insurance.
• Coordinate with the insurance department and manage all matters related to corporate insurance.
• Assign access cards to new joiners and maintain proper records and support the onboarding process.
• Exhibit excellent verbal and written communication skills in handling internal and external communication.
• Expertly handle multiple tasks, prioritize workloads, and manage time efficiently.
• Manage office facilities, ensuring proper upkeep and coordination with relevant teams.
• Book and manage agendas, appointments, and meetings for team members and upper management.
• Arrange and coordinate travel and accommodation for staff and management directly or via a travel desk.
• Create, update, and maintain both paper and digital records, ensuring confidentiality and data accuracy.
• Maintain office supply stocks and place cost-effective orders when necessary.
• Communicate with different vendors whenever required.
• Provide administrative support to HR, Finance, Sales, and other departments when needed.
• Submit timely reports, prepare presentations, and assist in proposal creation as assigned.
• Demonstrate proficiency in MS Office, particularly in Excel and PowerPoint, for reporting and data management.
Qualifications:
Education: Any Bachelor's Degree or higher degree.
Experience:
• 1-3 years of experience in office administration or a similar role.
• Hands-on experience in handling petty cash and basic accounting.
• Expertise in multitasking, prioritization, and time management.
• Proficiency in Microsoft Office (Excel, PowerPoint).
