The Role
The CAA Mailroom is a critical aspect of Creative Artists Agency. It serves as both the operational hub of the Los Angeles office and the primary career pipeline for entry-level employees into the organization. In its capacity as an entry-level pipeline, the Mailroom: provides technical and professional development, exposure to the entertainment and sports industries, and serves a critical role in cultural integration into the Company.
The Los Angeles Human Resources Coordinator (Mailroom) is responsible for providing administrative support to the department and specifically to the leaders of the Mailroom. Administrative support will include answering phones and maintaining calendars, keeping key operational reports updated in real-time; tracking departmental expenses against budget, helping to coordinate Mailroom development programs, and helping maintain work schedules and timecards for employees. The Human Resources Coordinator (Mailroom) position has a projected career path into Corporate Human Resources.
The ideal candidate will be highly organized while being able to handle competing priorities in an ever changing, dynamic environment. Additionally, individual will be highly skilled in building relationships across functions. Any Corporate Human Resources experience is strongly preferred.
Essential Functions:
• Answer phones and manage calendars for two Mailroom leaders
• Keep critical Mailroom reports related to employee status, transfers, etc. updated
• Track and report on Mailroom budget
• Maintain email distribution lists for Mailroom
• Submit monthly travel and expense reports
• Maintain and replenish Mailroom supplies
• Assist with managing the day-to-day scheduling of Mailroom personnel
• Manage hourly timecard process and ensure timesheets are submitted
• Ensure all payments are up to date and keep recurring warranty policies and contracts up to date
• Track maintenance schedule and set up service calls for all the equipment in the Mailroom
• Participate in and help set up twice a month Mailroom development programs
• Back-up support for assigning Mailroom personnel to daily assignments
Requirements:
• Three plus years of work experience in an administrative support function. Human resources, Operations and/or entertainment industry experience strongly preferred
• Demonstrated ability at being responsive and delivering results in a dynamic and ambiguous environment
• Demonstrated ability at providing high levels of customer service
• Strong attention to detail
• Strong critical thinking. Ability to drive results with limited direction
• Demonstrated ability to use variety of software platforms including MS office with particular proficiency in Excel
• Able to work collaboratively and build productive relationships across functions
• Experience with HRIS system required, experience with Workday systems a plus
• Extremely flexible, proactive, highly organized, and ability to shift priorities, multi-task, and handle heavy work flow processing
• Strong tactical execution skills
Location
• This role will be based in our Los Angeles, CA office, on-site Monday - Friday.
Compensation: The base hourly rate for this position is in the range of $23.00-26.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
