Bravado is currently looking for a Coordinator, Artist Services. This person will be key support to the West Coast executive staff. They will work between departments to enhance collaboration, synergy, and organization. They are a vital role to help drive administration, and innovation across Bravado's amazing and expansive roster of artists and talent.
This exciting role requires superior attention to detail, impeccable organizational skills, and the confidence to optimize workflow and proactively set priorities for the team. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is critical.
This role demands confidence in the ability to communicate on behalf of a team. The Coordinator, Artist Service is here to support company leaders to ensure they can efficiently accomplish key tasks and initiatives. A ''can-do'' attitude is essential. No task is too small and no challenge too great.
How you'll CREATE:
In a fast-paced and growing environment like ours, priorities and projects often change so this role includes, but is not limited to, the following responsibilities:
Administration
• Develop a clear understanding of the executives' personal schedules and preferences
• Help the executives stay on schedule and highly functional with organization of meetings
• Proactively manage a dynamic schedule by shifting meetings when needed and properly communicating those changes with participants
• Set up meetings, conference calls and ZOOMs
• Coordinate incoming meeting requests and prioritize effectively
• Assess travel time between meetings
• Process travel & entertainment expenses for Executive Staff
• Book travel, accommodations, and reservations for the executive team
• Create and send grammatically correct internal/external company communication
• Prepare communications on the executive's behalf for review as directed
• Track important information or milestone moments
• Send packages when needed
• Create and maintain presentations InDesign, Canva, and other project work as assigned
• Maintain and organize internal systems with key information daily
• Participate in gathering key research
• Proof-reads presentations, production art files, designs, and any other creative materials
• Take notes and distribute action items on client and internal calls
• Support leaders, administratively in process implementation
• Order and prepare products and samples for client meetings
• Assist with system logins and creating accounts (Monday.com, Aprimo, PLM, Box)
• Educate the team on key software innovations
• Coordinate production of physical meeting materials and samples
• Plan team educational events and book local trade shows
• Maintain executive updates for weekly summaries
Creative & Brand Management:
• Code freelancer invoices in Uniport
• Maintain and organize database of band/artist assets
• Maintain and organize database of Bravado event assets for Sizzle and Social updates
• Coordinate approvals through Brand Management of social assets
• Support Creative and Brand Management with digital content ideas and scheduling for content capture upon pop ups, show dates or other large artist/UMG events
• Share links to approved art files, seps, mockups, and presentations
• Update artist style guides and brand guides
• Update corporate presentations
• Handle one-off mockups
• Assemble/design/delegate informational decks for one off presentations
Bring your VIBE:
• At least 2-3 years of relevant experience
• Interested in learning and growing within Sales
• Bachelor's degree, preferred

• Strong proficiency and working knowledge of Microsoft Office Products inclusive of Word, Excel and PowerPoint, Apple products (Keynote, iCal, etc.), Adobe Creative Suite, and project management systems (Monday)
