Overview

Audacy's corporate headquarters is seeking an Office Coordinator! The nuts and bolts behind a well-oiled machine. The purpose of this role is to create the Audacy culture for the broadcast and corporate team members through communication and engagement. The Office Coordinator focuses on employee engagements, client relationships, and office management. Must be available to work on-site at Philadelphia HQ, Monday through Friday.

Responsibilities

What You'll Do:

People & Communication:
• Key leader for all internal teams and employee experience
• Perform all receptionist responsibilities as needed
• New hire welcome and desk set up
• 1 Thing Initiatives/ Sustainability champion/wellness/help-desk
• Serve as the main office communicator for both Corporate and Broadcast employees
• Act as backup to Sales Assistant
• Assist with catering orders for meetings, events, and training sessions
• Perform general administrative duties including filing, scanning, and copying
• Fielding telephone calls and forwarding to appropriate parties
• Send communication emails to all employees on special events taking place, holidays, important information, and general information
• Assist in facility and vendor coordination for both the corporate and the broadcast sides
• Create and send communication emails to update staff
• Ensure all mail items are sorted properly, delivered, and unpacked
• Manage 2400 seating charts for both corporate and broadcast seats
• Coordinate new employee setup and orientation (IT, security, building, local amenities)
• Concierge for any radio guests/celebrities with station management
• Coordinate with special guest arrivals and assign tours as needed
• Safety coordinator for visiting guests and celebrities
• Notifying building, internal staff, etc.
• Coordinate conference room schedules, and maintain current knowledge of all conference room equipment
• Air traffic control
• Act as the main point of contact for any office-related inquiry

Facilities:
• Managing office supplies
• Building liaison
• Coordinator of cleaning concerns with building
• Manage kitchen cleanliness on both corporate and broadcast sides
• Coordinate maintenance around office events

Events:
• Direct liaison with event owners for all internal events and activities to ensure excellence in the planning and production of all Audacy HQ experiences.
• Gatekeeper of 2400 calendar of events (no overlap, time to prepare, and inform both executive assistants)

Qualifications

Required & Preferred:
• Entry level position
• Bachelor's Degree preferred and/or previous office administrative experience
• Ability to lift 20-30 pounds
• Organizational skills
• Be able to work independently with minimal supervision
• Outgoing, personable, responsible, and detail-oriented
• High energy and comfortability to work in a fast-paced environment
• Proficient in Google Workspace
• Have the skill set and ability to work with a multilevel work force with widely diverse personalities
