This role is responsible for coordination, planning, and executing ''Dark Day'' Event Load – referred to as ''Ancillary Events.''
What you will do: (Responsibilities)
• Coordinates, monitors, and supervises planning and execution of all arena events as assigned. Works closely with event operations team
• Creates facility maps using AutoCAD for events as assigned
• Develops and builds Ancillary Events from production notes and other forms of communication.
• Serves as direct communication link with internal teams, promoters, or other external clients involved representatives in event planning and execution.
• Ensures facility readiness and client satisfaction while maintaining arena's best interests and facility policies.
• Approves event set-ups & associated logistics in the event booking program.
• Coordinates and conducts site surveys for future events and attends event related meetings.
• Manages relationships between the Arena and third-party sports teams, clients, promoters, partners etc. both verbally & in writing.
• Conducts physical inspection of all areas of the arena to ensure correct set up and patron safety.
• Interacts, as needed with customers, clients partners, Customer Service or other operating departments, to solve and resolving stressful conflicts in a time-critical manner.
• Compose & disseminate event outlines and notices consisting of all event set up needs including venue access, parking, event security, housekeeping and food/beverage needs and show run times.
• Ability to deal with and manage eccentric/challenging personalities.
• Assembles event costs for billing and settlement.
• Other duties as assigned.
What we need from you: (Required Skills/Abilities)
• Must be a self-starter; able to work with minimal supervision and able to initiate work when needed.
• Must be able to produce high level reports and analysis with accuracy and attention to detail.
• Ability to grasp concepts quickly and work in a fast-paced environment.
• Must be highly organized and able to exercise good judgment in prioritizing work and balancing multiple tasks.
• Must be able to maintain discretion and confidence as this position will have access to sensitive information.
• Excellent written and communication skills.
• Familiar with federal, state, and local grant application requirements and processes.
• Familiar with federal, state, and local environmental regulations.
Education and Experience:
• High School diploma or GED required. Associate's or Bachelor's degree preferred
• Two years of experience in event management. Arena experience is preferred.
• Excellent verbal communication and interpersonal skills, and attention to client satisfaction in a fast paced environment.
• Proficient computer skills in Excel, Word, PowerPoint, Outlook and AutoCAD.
• Must have working knowledge of all building setup abilities, limits and components utilized for each.
