Job Description
This position is responsible for overseeing all Compliance operations in India and will be part of the P&C Operations team. The primary objective of this role is to manage daily Statutory Compliance, Labor Law Compliance, Employee Benefits Management, Payroll Coordination, Compliance Effectiveness, and Audit Reporting.
Your Role Accountabilities…
Compliance Data Coordination:
• Collaborate with P&C Operations and Payroll teams for monthly, quarterly, and annual reporting.
• Perform data reconciliations and accuracy checks to manage MIS (Management Information System).
• Prepare and present dashboards for leadership review.
Statutory Compliance:
• Ensure adherence to statutory regulations, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), Labor Welfare Fund (LWF), and the Income Tax Act.
• Oversee the filing of returns and reports related to statutory obligations (PF, ESI, PT, etc.).
• Monitor and update legal and regulatory changes that impact payroll and employee compensation.
Labor Law Compliance:
• Ensure compliance with Indian labor laws such as the Shops and Establishment Act, Minimum Wages Act, Payment of Gratuity Act, and Maternity Benefit Act.
• Contact the provider for gratuity actuarial reporting and leave report preparation
• Implement policy changes in line with amendments in labor laws.
• Liaise with external consultants, government officials, and labor law experts to stay updated on compliance standards.
• Support the management of labor law audits and inspections, ensuring POSH (Prevention of Sexual Harassment) data is correctly filled and displayed across offices.
Employee Benefits Management:
• Administer employee benefits, including medical insurance, provident fund claims, and more.
• Manage PF transfers, KYC corrections, and follow-up on cases with EPFO (Employee Provident Fund Organization), Delhi, weekly.
• Handle employee queries regarding PF settlements, advances, and statutory benefits.
• Coordinate legal consultations and manage inspections and notices from government bodies, in collaboration with external partners.
• Lead initiatives to raise employee awareness through weekly calls, meetings, and helpdesk support.
• Assist with the processing of gratuity and superannuation, working closely with LIC and other fund groups.
Auditing and Reporting:
• Conduct internal audits of labor law practices, including CLRA (Contract Labor Regulation and Abolition), to ensure compliance and transparency.
• Prepare monthly, quarterly, and annual payroll and compliance reports for management.
• Collaborate with auditors during statutory and compliance audits across various locations.
Compliance Effectiveness:
• Assist in developing and implementing internal policies related to payroll compliance and statutory benefits.
• Provide recommendations to improve and automate compliance processes. Familiarity with tools like Simpliance is an advantage.
• Act as the single point of contact with authorization to approve or sign off on compliance-related tasks and forms
Qualifications & Experience…
• Education:
• Bachelor's degree in legal, HR, Finance, Business Administration, or a related field.
• Certifications in payroll or labor law compliance (e.g., Payroll Specialist Certification) are an added advantage.
• Experience:
• 5-8 years of experience in pre-payroll or payroll compliance within India.
• Strong knowledge of Indian payroll processing, tax regulations, and statutory compliance.
• Experience using payroll-related software and ERP systems.
• Skills:
• In-depth understanding of Indian labor laws and statutory requirements.
• Exceptional attention to detail and organizational skills, with the ability to manage multiple tasks.
• Excellent communication skills for handling employee queries and coordinating with external agencies.
• Proven experience working with third-party service providers and government agencies
