Job Description
This role sits within the People & Culture Operations Onsite team, a team of HR Operations Specialists who are based directly in each of the following office locations; UK, Poland, France, Sweden, Norway and Denmark. This role will be based in Warsaw supporting the employee population based in the country, but from time to time the holder may also cover other countries during periods of annual leave/ increased volume.
In this role, you will be responsible for direct contact with employees and for the internal support of People and Culture Partners for our employees based in Poland. As the Onsite Specialist you will be responsible for a wide range of processes during the employee lifecycle, employee administration, induction meetings, probation, absence management and offboarding. You will also be responsible for the integrity and accuracy of all employee records and data in our HR systems. This role is an essential part in the People & Culture Operations Team, who serve as the backbone of Discovery's People & Culture team. Your Role Accountabilities…
• Support People & Culture Partner team in day-to-day projects and provide support as required, including by answering tier one/two employee questions with a focus on customer service and maintaining a positive attitude
• Act as first point of contact for general People & Culture queries from employees, line managers, People & Culture Business Partners and external vendors
• Support employees, line managers and external vendors with diverse queries and service requests across various communication channels, including case management, face to face, Zoom etc.
• Assist and counsel employees regarding company policies and programs and leave of absence plans, ensuring appropriate documentation is obtained based on local labour laws
• Onboard new hires, conduct new hire orientation, liaise with facilities and IT on new hire technology needs, and coordinate new hire needs
• Prepare required documents for separations, coordinating the collection of employee assets
• Create and maintain any documentation related to employment changes, ensuring all letters and documentation are correct and sent out in a timely manner in accordance with local labour laws
• Perform data processing for all transactions in People & Culture systems
• Support and guide employees on how to complete self-service transactions as required through demonstration and guidance
• Responsible for managing and maintaining employee files, paper & electronic. Serve as on-site point of contact for all document management activities, in congruence with the company document management strategy and retention policy
• Assist with the payroll process to ensure that information provide to payroll is accurate and all requests are approved
• Manage the new hire probation process, supporting the line manager and providing information to the employee as required.
• Provide reference requests for leavers, employment confirmation and visa applications
• Achieve performance measures and adhere to established SLA requirements
• Ensure overall compliance with the local employment law
• Work collaboratively as a global team with other areas of the People & Culture team or other teams (such as Global Technology & Operations) to resolve escalated or misdirected employee questions
• Statutory reporting
• Participate in People & Culture projects and initiatives to improve processes and drive efficiencies system
Additionally, might be involved in:
• Analyse data processed in the systems and vendor integrations to determine compliance and accuracy
• Serves as operations liaison with various stakeholders such as People & Culture partners in relation to open and available positions
• Oversee onboarding process to ensure all tasks are completed in a timely manner
• Assist with testing related to People & Culture systems
• Conducts audits and quality assurance testing to ensure accuracy of variety of inputs
• Upskilling & training Junior team members
• Perform other responsibilities as assigned which may become essential to the position
Qualifications & Experience…
• +2 years of professional HR experience in global organisation (experience in HR administration will be a strong asset)
• Good understanding of the labor law / social security in the country
• Passionate about delivering exceptional employee experience and working in a global team environment
• Strong organisational and time management skills, with attention to detail
• Experience working with MS Office is highly desirable but not essential
• Ability to prioritise workload, be self-driven and work autonomously
• Experience or understanding of HR systems (Workday desirable)
• Knowledge of case management systems (ServiceNow preferable but not essential)
• Experience of working in an HR Operations/Shared Services environment
• Ability to solve problems and carry out responsibilities with little or no supervision
• Ability to prioritise and address competing demands; with multi-tasking capacity critical
• High degree of respect for the confidentiality and sensitivity of HR and payroll data
• Must possess the ability to work effectively within a fast-paced environment
• Fluency in local language and English both written and spoken
• Must have the legal right to work in Poland
