Job Description
POSITION OVERVIEWThe Festival Coordinator, Sundance Industry Office (SIO) maintains data related to the Festival registration process for industry members and facilitates members participation in both the online and in-person components of the Sundance Film Festival. This role requires a high level of organization, an extremely detail-oriented nature, problem solving, and strong communication skills.
Working under the direction of the Assistant Director, Industry Relations, the Registration Coordinator will also provide administrative and operational support to the department and customer support to industry members.
This temporary position works 32 to 40 hours per week from Wednesday, October 9, 2024 through Friday, February 14, 2025. Extended hours, including evenings and weekends to meet key deadlines and respond to on-call needs may be required at key points. This position must be based within a commutable distance to our Park City, UT office in order to work onsite in a hybrid capacity throughout its employment. Full-time availability will be required during the Sundance Film Festival. There will be ample opportunity for remote work leading up to the Festival in January.
Top priorities include, but are not limited to...
• Maintaining data contained in SIOs internal registration system and ticketing platform: running reports, processing registration requests, cancellations, pass transfers and other changes.
• Managing registration information in Airtable and Google Sheets: tracking and updating participant statuses, pass inventory, and the registration waitlist.
• Facilitating the Festival registration process for industry members: providing email support, answering questions and acting as a department representative.
• Troubleshooting and resolving registration issues, working collaboratively with other Institute departments when necessary.
• Assisting with cross-training fellow employees and volunteers on department workflows and systems.
• Supporting sales agent registration and ticketing.
• Assisting with research projects related to department membership and functions.
• Assisting with external correspondence for targeted periods and responding to a high volume of email promptly; following the internal process for organizing and escalating communications.
• Handling the distribution of SIO documents and information to internal departments as necessary.
• Maintaining and updating SIO member resources (attendee list, screening schedules, film contact list).
• Auditing physical passes against registration order lists in preparation for onsite distribution.
• During the Festival, providing timely customer support to members engaging in in-person and online Festival activities, troubleshooting where possible and working with customer/tech support as needed.
• Running Press and Industry screening reports and distributing them to sales agents during the Festival.
• Finalizing registration data and metrics after the Festival ends.
• Completing a comprehensive written wrap report.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years operational, administrative, and customer support related experience.
• Outstanding written, verbal, and interpersonal communication skills required to work effectively with a variety of people, both internally and externally.
• Exceptional organizational skills including the ability to track a multitude of details.
• Ability to maintain discretion and handle confidential information with care.
• Ability to collaborate across various internal teams and external contacts.
• Proficiency in Google Products necessary.
• Working knowledge of databases, Airtable, and/or advanced Excel/spreadsheet functionality preferred.
• Working knowledge of ActiveCampaign or other email marketing software is a plus.
• Knowledge of the independent film industry preferred.
