Title: Executive Assistant
Location: New York, NY (Full-Time, On-Site)
The Role:
Roc Nation is seeking a high caliber candidate for our Executive Assistant role - the incumbent needs to be well-spoken, with strong verbal and written communication skills, able to manage a high volume of projects and is a self-starter with excellent client interfacing skills. Must have a minimum of 2 years of experience and be willing to handle administrative responsibilities and work well in a dynamic, fast-paced environment.
Responsibilities:
• Manage a high-volume calendar - organize meetings including scheduling, sending reminders, creating agendas, taking meeting minutes and providing documents/recaps to attendees
• Answer and respond to phone calls, communicate messages and information to the Executive
• Prioritize projects and respond when necessary
• Coordinate and finalize travel arrangements for Executive and clients
• Support process of Marketing, Communications and PR team
• Curate and organize essential team materials, maintaining structured Google Drive folders to promote streamlined collaboration and resource accessibility
• Manage multiple projects at a time and prioritize workload to ensure that project timelines are met
• Serve as primary point of contact for both internal and external projects, as well as, the main liaison between internal departments and external clients/partners
• Track industry trends and make relevant recommendations for projects and brands
• Generate and continuously maintain reporting data for respective projects, reporting to upper management, as necessary
• Work across the company and multiple business verticals to roll out new initiatives and meeting targets (as directed)
• Assist with the preparation and execution of events spanning all Roc Nation verticals
• Must be willing and able to travel to assist projects at the various stages
• Support related administrative and department needs
Qualifications:
• Bachelor's degree required
• 1-3 years of experience in assistant role, creative operations, project management, and/or related roles, preferably working in the music, sports or entertainment industry
• Familiarity with design software including Adobe Creative Suite (Photoshop, Illustrator, InDesign, Premiere), Keynote, and Canva (Preferred)
• Ability to work independently in a fast-paced, dynamic environment
• Very strong verbal and written communication skills; exceptional presentation skills (visual design oversight & oral presentation); clear and concise
• Adaptable; can roll with the punches and tweak approach to project when necessary
• Excellent people and management skills to interact with staff, colleagues, cross-functional teams and third parties
• Proven track record of developing collaborative relationships through gaining trust and successful delivery
COVID-19 vaccination series and booster shot are a mandatory requirement for this position.
