The Penguin Publishing Group division of the Penguin Random House Speakers Bureau seeks an Assistant to join the team. The PRH Speakers Bureau represents world-class authors, leaders, and thinkers and works to secure paid speaking engagements for its roster at universities, libraries, corporations, conferences, and literary series worldwide, both virtually and in person.
Reporting to the Executive Agent Director, this position provides tremendous growth potential and affords an opportunity to work with some of our most popular house authors published by Penguin imprints, including Priya Parker, Robert Jones Jr., Kiley Reid, and Ocean Vuong. The Assistant will provide general support to the Speakers Bureau team within the Penguin Publishing Group division and work closely with external partners: corporations, universities, and non-profits who book our speakers for engagements.
The PPG division of PRHSB (a team of four, including the Assistant) works collaboratively and communicates openly to help each other problem-solve. We value and support hearing from all voices on our team and encourage contributions during meetings, developing new processes to increase efficiency, and identifying potential new speakers for our roster.

The Role:
• Execute event coordination, including booking travel for all events (coordinating with event sponsor, speaker, and in-house travel agencies) and creating and updating detailed speaker itineraries for both virtual and in-person events
• Liaise directly with speakers and event sponsors on logistical details related to the events, including on-call support as needed for speakers traveling to/from events
• Maintain and update CRM database, including contact management, event details, and finances in coordination with the Speakers Bureau finance team
• Support speakers who are on the road after-hours to remedy emergency travel needs that may arise.
• Execute departmental mailings, research, and pitches to promote speakers to potential sponsors
• Work closely with PRH Speakers Bureau staff cross-divisionally.
• Attend company meetings to identify potential speakers as well as virtual and local speaking events
• Provide administrative support for Executive Agent Director
• Additional assignments, projects, and responsibilities, as needed
The Essentials:
• Interest in the logistical aspects of event planning, working with a wide array of people and personalities, and reaching audiences at live events
• Ability to adapt to all communication styles on both email and phone and keep an inviting and can-do demeanor when collaborating with external and internal stakeholders.
• A self-starter fluent in multi-tasking with impeccable attention to detail and efficient organizational skills
• It is essential that the candidate is comfortable working in a small team environment and therefore possesses a proactive and independent approach to work and be solutions focused
• The ideal candidate is savvy with CRM (Customer Relationship Management) software and proficient in MS Office, particularly MS Outlook and Excel, as well as video conferencing platforms, such as Zoom, Webex, and Microsoft Teams
• Experience in book publishing is a plus but not required to succeed in this role – we value a team player who can prioritize and multi-task in a rapidly changing, fast-paced environment
The salary for this position is $45,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.

The salary range listed is specific to each particular open position and takes into account various factors including the specifics of the individual role, and candidate's relevant experience and qualifications.
