Job Description
The Programming & Development team within the General Audience Programming department is responsible for developing content strategy, commissioning programming, evaluating proposals and projects and overseeing the production and delivery of a range of series and specials across multiple PBS platforms, including linear broadcast and digital distribution. In addition, GA Programming & Development works closely with other PBS departments to coordinate ancillary and beyond broadcast initiatives and project components as well as externally facing awareness and pr campaigns.
The Sr. Coordinator, Programming and Development provides day-to-day administrative support to the team, with additional support dedicated to the Vice President in scheduling, travel, organization and communications. The position also serves as the point of contact for the team, providing friendly and efficient customer service to internal staff and external parties from producers to stations.
Key responsibilities will include, but are not limited to:
• Provide comprehensive high level administrative support for the Vice President and interface with other members of the team
• Proactively schedule internal and external meetings, coordinate calendars, make travel arrangements both domestic and international, prepare expense reports, fulfill shipping requests, coordinate timesheets or leave reports, request equipment and facilitate invoice payments
• Create and distribute meeting agendas, attend meetings and take and distribute notes as requested by the Vice President
• Manage the weekly development meeting; working with editorial leads and producers to set agendas, gather all required development deliverables, and participate in initial editorial reviews of unsolicited projects
• Assist the GA digital team in producing assets for our non-linear platforms in support of our key series & strands and audience growth objectives.
• Keep and maintain well-organized and up-to-date files, both electronic and paper
• Maintain up-to-date, accurate and organized contact lists and outlook databases from emails and project lists
• Conduct research and prepare documents at the request of the Vice President
• Build and maintain relationships with other coordinators and administrative team members, emphasizing fast and detailed response
• Prepare agreements and other documents, draft correspondence, and proofread documents with a high degree of accuracy
• Assist with event planning in support of various conferences and/or festivals
• Provide administrative support for meetings, including coordinating schedules with participants, making technology and food arrangements, reserving meeting/conference rooms and hotels sites, following up with appropriate parties, etc.
• Respond to phone inquiries from producers, station personnel, other PBS departments, and viewers and direct inquiries to appropriate staff
• Other duties as assigned
Requirements for success:
• 2-3 years' administrative experience or equivalent in a fast-paced environment
• Associate degree in business, communications or related field, or equivalent combination of education and experience
• Organized and detail-oriented with the ability to prioritize multiple tasks and take initiative
• Experience and comfort with fast-paced office setting
• Discretion with regard to confidential information
• Customer Service orientation with strong interpersonal skills
• Ability to take initiative to solve projects
• Attention to detail and resourcefulness
• Mastery of Microsoft Office, including Word, Excel and PowerPoint is a must
• Excellent written and verbal communication skills
• Ability to work comfortably, confidently and productively to meet deadlines
• Interest in Public Media or multiplatform content distribution
• Regular office presence is expected and in coordination with needs of Vice President
