As the Executive Assistant to the Head of Sports at Paramount Advertising, your responsibilities will include managing administrative tasks such as calendar management, travel coordination, expense management, project assistance, and ensuring efficient office operations. In addition, you will also assist the leadership team by coordinating travel arrangements and managing expenses. You will craft and deliver strong verbal and written communications; exercise exemplary administrative and organizational skills; demonstrate strong capability to manage multiple tasks and balance multiple priorities. Your impeccable interpersonal skills present with a poised, polished, and friendly disposition. The ideal partner in the role is a self-starter who can prioritize effectively for themself and the Senior Executives, and who can work excellently under pressure. Your strong business insight reflecting a high level of awareness, competency, and efficiency in all you do is your key to success.

This position is a hybrid role, located in NYC-Times Square.
Overview and Responsibilities:
• Be highly responsive to direct and anticipated needs; provide fast, accurate, and thoughtful responses to requests, and follow up on action items in support of the executive's efficiency and effectiveness.
• Coordinate heavy travel itineraries including flight reservations, hotel, and car service quickly and accurately. Inform and plan actions based on the itinerary with appropriate parties, monitoring throughout. Process associated expenses as required.
• Complete scheduling and calendar management as needed with a heavy focus on coordination of complex meetings with multiple participants and locations.
• Provide effective and expeditious meeting coordination including agendas, notes, action items and follow-ups.
• Run meeting presentations, conference room, and AV equipment logistics.
• Maintain department distribution lists and send department-wide communications.
• Screen and respond to phone calls, emails, and incoming/outgoing packages.
• Partner with key partners to Ad Sales leadership and their EAs to collaborate, acquire information, problem solve, and achieve desired results.
• Manage special projects and take on additional duties and projects as needed.
• Prioritize tasks as needed and organize daily. Always monitor emails during working hours and before and after them.

Basic Qualifications:
• 5+ years of experience as an Executive Assistant or related field

• Enthusiastic about the art and science behind being an impactful and value-adding Executive Assistant
• Employ excellent judgment, discretion, and overall decision-making skills during interactions with Senior Executives, Industry Leaders, and other high-profile partners
• Energetic and eager to tackle new projects and ideas while maintaining focus on key priorities
• Able to function as a central knowledge resource for the team to help facilitate streamlined communications and drive toward team results
• Applies strong writing, editing, and proofreading skills for emails, presentations, and other correspondence

ADDITIONAL INFORMATION

Hiring Salary Range: $68,500.00 - 105,210.00.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
