Executive Assistant, Scripted Series (ONYX Collective)
The Executive Assistant will provide administrative support to the SVP & VP of the scripted series team at ONYX Collective. Responsibilities include executive scheduling, travel & expense reports, meeting setup, event planning, and other administrative support as needed. The position requires a professional communication style, strong attention to detail, excellent organizational skills, and the ability to juggle multiple high-priority requests to meet tight deadlines.
This position requires a high level of integrity and discretion in handling confidential information and professional etiquette to represent and interface with senior executives inside and outside the Company. Seeking poised self-starters who can anticipate needs, offer creativity to initiate enhancements, drive work products, showcase follow-through, and be a collaborative team player.
Please note that this role is currently located in the Century City offices. The team is expected to transfer to Burbank by end of 2025.
Responsibilities:
Provide day-to-day administrative support to the SVP and VP, including, but not limited to, the following:
• Manage busy calendar and schedule meetings across multiple time zones, routing phone calls, processing expense reports, and ensuring timely and effective communications
• Coordinate the planning and execution of in-person/virtual events and business travel, including trip logistics and itinerary, meeting coordination, and remote support of executives who are out of the office
• Provide additional office support such as distributing mail, filing, scanning and tracking documents, ordering supplies, and processing purchase orders
• Create PowerPoint and Keynote presentations, as needed
• Manage reports and maintain databases
• Support special projects, promotions, events, and programs, as needed
• Interface with various internal departments and external organizations
• Participate in an administrative team, providing backup to other assistants and contributing to day-to-day coverage of administrative duties
Basic Qualifications:
• 1+ years of administrative experience in a high-volume entertainment desk at a studio, network, production company or agency
• Strong understanding of the television programming process
• Excellent written, verbal, and interpersonal communication skills
• Approachable style and ability to effectively and professionally interface with high-level executives, clients, employees, and business associates, both internal and external
• Strong organizational and time management skills
• Proven experience in multitasking and working with multiple people and priorities while delivering on high-quality results and follow-through
• Demonstrates curiosity, business acumen, and a desire to understand the 'big picture'
• Demonstrates flexibility and professionalism in an environment where change is constant
• Proven ability to handle confidential and sensitive information in a professional manner
• Self-starter, with the ability to work with limited supervision, exercise good judgment, and proactively problem solve
• Excellent attention to detail and accuracy
• Proficient in using PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Keynote, and Outlook) and SAP
Preferred Qualifications:
• 2+ years of administrative experience in a high-volume entertainment desk at a studio, network, production company or agency
• Experience supporting senior-level executive(s) in a corporate environment preferred
Required Education:
• Bachelor's degree or equivalent combination of work experience
The hiring range for this position in Burbank, CA is $58,700 to $78,600 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
