Job Description
The Role and What You'll Do:

The Sr. Design Coordinator position will be responsible for developing/management of schedules for all designer deliverables. This position works with both the Project Management teams and the Designers to streamline communication, build out deadlines, and ensure that all deliverables are met. This person will also aid in tracking print files through the approvals processes and through the production process to final installation.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
• Develop, collaborate & manage workflow/schedules for of all production, creative and freelance staff to ensure accuracy through completion and delivery
• Aide in management of team workflow, logistics, updating project tracking system, and the storage of archived jobs
• Track all artwork through the approvals, production, and installation processes
• Aides in the organization of the electronic files structure for client, creative and production needs
• Updates and provides regular project status with as needed
• Take notes from design meetings and distribute those notes to all participants
• Printing large format diagrams and design packets
• Creating independent contractor invoices, processing invoices, and tracking of all IC workflows
• Time Sheet Auditing
• Copy editing
• Become proficient in all necessary procedures/ processes as they relate to Creative Services including: Design To-Do, Expense Reports, P&L, Client & Vendor List, Quoting, Timeline/Scheduling

Reinforces specific guidelines and procedures with team members regarding department workflow
OTHER DUTIES & RESPONSIBILITIES
• Follow administrative procedures for timesheets, time off requests, and other HR needs
• Keep up to date with any deliverables the Project Management team needs for billing purposes
• Manage AmEx billing statements for executive team

You Have These:
• Bachelor's Degree in design management or equivalent experience in creative project management required
• 3+ years' experience in Design Management, Event Management or related field
• Proficient in MS office, PowerPoint, Excel, Keynote
• Proficient in project/data management software (Asana and FileMaker Pro a plus)
• Excellent communication/time management skills, adherence to brand guidelines, attention to detail and accuracy
• Good timekeeping and work ethic that is characterized by commitment, motivation, and energy

We'd Love If You Also Have These:
• Bachelor's degree in relevant field.
• Experience working on large scale events for event/experience marketing.
• Working knowledge of Asana.
• Ability to understand CAD drawings, layout and floorplans
• Graphic Design experience a plus.
• Must be able to work independently.
• Basic proficiency with Adobe Creative Suite a plus.
• Possess and expand knowledge of all disciplines related to Creative Services Dept.

Travel:

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. This position may require up to 20% travel.
