Job Description
The Role and What You'll Do:

The Senior Design Coordinator will be responsible for development and management of schedules for all design deliverables. This position works with both the Project Management team and the Design Team to streamline communication, build out deadlines, and ensure all deliverables are met. This person will also aid in tracking the approvals process, production process, and final installation.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
• Develop and manage project schedules by collaborating with production, design and freelance staff to ensure accuracy through completion and delivery
• Manage team workflow, work within our project tracking system, and adhere to processes to archive jobs
• Track all artwork through the approvals, production, and installation processes
• Maintain organization of electronic files structures for client, creative and production needs
• Take notes from design meetings and identify design action items and distribute to all participants
• Proofread and edit copy received from other teams
• Provide regular project status updates
• Print large format diagrams and design packets for reference on site
• Create independent contractor (IC) requests, process invoices, and track of all IC workload
OTHER DUTIES & RESPONSIBILITIES
• Follow administrative procedures for timesheets, time off requests, and other HR needs
• Audit Design Team Timesheets on a quarterly basis
• Manage AmEx billing statements for the executive team
• Master all necessary procedures/processes as they relate to the design team including project management in Asana, producing expense reports, reading profit & loss statement, developing price quotes, onboarding ICs to our accounting platform.

You Have These:
• Bachelor's Degree in a relevant field or equivalent experience in creative project management required
• 3+ years' experience in Design Management, Event Management or related field
• Proficient in Microsoft Office (Word, PowerPoint, Excel), Sharepoint, and Keynote
• Experience working in project management software (Asana and FileMaker Pro a plus)
• Excellent communication and time management skills
• Ability to work independently while maintaining attention to detail and accuracy
• A work ethic that is characterized by commitment, motivation, and energy

We'd Love If You Also Have These:
• Experience working on large scale events or experience marketing
• Working knowledge of Asana
• Ability to understand CAD drawings, layout and floorplans
• Experience with production of print materials
• Basic proficiency with Adobe Creative Suite

Travel:

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. This position may require up to 20% travel.
