The Role and What You'll Do:
• Assist with preparation of Scope of Work (SOW) documents for various disciplines for Request for Bid (RFP) process
• Ensure all points of Procurement Process are rigorously followed
• Seek quotes and RFPs for event production goods and services via the approved Procurement Process for FWC26
• Become proficient in Smartsheet processes including bidding database, tracking milestones and deliverables, and timelines
• Become proficient in all areas of vendor documentation development – bidding, contracting, service and master agreements
• Review RFP responses for budget, service and viability to make recommendations to OL Finance Team and FIFA, in accordance with approved Delivery Budget Line Items
• Receive, Track and Review Vendor Certificates of Insurance (COI's) for compliance to be reviewed as needed by OL Legal Team
• Issue Vendor Service Agreements, Letters of Authorization
• Work with Business Ops team to ensure all awarded business is within budget and included in detail on Master Finance Trackers
• Support services and vendors for the FWC26 OL Delivery Team, including but not limited to; Waste Management, Power, Internet & Technology, Audio / Visual, Food & Beverage, Public transport operators, Signage, Security & First Aid contractors, Grounds Maintenance contractors, and Service with equipment suppliers.
• Maintain terms of vendor agreements, with special attention to Change Order policy, providing a checks and balance system from bidding to delivery to post-assessment
• Ensureall applicable FWC26 KPI's are understood by all applicable vendors, including any monetary penalties
• Line management of junior team members as team grows
• Work with OL Delivery Infrastructure & Overlay teams on vendor relation management and development
• Actively participate in project meetings with key staff and vendors
You Have These:
• Bachelor's degree in business administration, event management, hospitality, or a related field
• Experience with multi-discipline procurement and bidding, focused in the event production, construction or related field
• Highly organized and process-oriented
• Ability to multi-task and remain calm in high-pressure situations
• Strong communication and interpersonal skills
• Good timekeeping and work ethic that is characterized by commitment, motivation, and energy
We'd Love If You Also Have These:
• Prior experience with events (in particular, large-scale events) a plus
• Flexibility and positive attitude to work long days, evenings, weekends and holidays when necessary
Travel:
• A willingness to travel frequently (up to 50%) and work flexible hours
