Team Assistant, UK Production (FTC - Parental Leave Cover)

At Netflix Heads of Post Production and VFX are responsible for all post and VFX work carried out by Netflix in the UK as well as functional leadership of post production and visual effects executives in the London office.

They are looking for an experienced Administrative Assistant to support their board remits by managing their diaries, organizing meetings, managing complex agendas, and arranging travel. In addition, there is a significant outreach requirement, arranging external events for our industry engagement efforts.

A successful candidate will be self-motivated, flexible, thorough and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and attention to detail, at all times. This position is fast moving and requires someone who is a positive and proactive thinker able to exercise good judgment with clear communication.

We are looking for somebody to join for a fixed term of one year to cover a parental leave within the team.

Core Responsibilities:
• Manage complex calendars for director level executives including scheduling meetings both internally and externally with multiple time zones; coordinate logistics & technical set up for meetings
• Coordinate detailed travel arrangements, both domestically and internationally
• Handle administrative duties around processing travel and expense reports
• Maintaining a high volume of communication internally with cross-functional teams and externally with industry partners.
• Gather, organize and enter various production-related data and information across multiple tools and platforms
• Execute special projects as needed, independently & in collaboration with the team.
• Assist in maintaining and tracking our freelance and vendor VFX talent databases
• Work collaboratively with admins and coordinators within the larger studio team and across various functions (e.g. Creative Development, Production Finance, Physical Production, etc.).
• Events management and execution.

Qualifications:
• Must have at least 3+ years of experience supporting execs from a media based background, film, tv, music, entertainment
• Passion for films and television series a must
• Ability to respond after hours for important, timely or urgent matters
• Team-player who operates in a fast-paced team-oriented setting
• Ability to be discrete and maintain confidential information
• Ability to prioritize and manage a high volume of multiple and competing tasks
• Have clear, concise communication skills, excellent interpersonal skills, creative thinking, and the ability to multitask
• Proficiency in the Google Suite of apps (Drive, Docs, Sheets, Slides, GMail, Forms and Calendar), as well as, being overall tech savvy.
