The Role
We are seeking a highly experienced and dynamic Assistant to provide dedicated support to the Director of Film and the London-based Film Team. This role is perfect for a resourceful, proactive, and detail-oriented professional who thrives in a fast-paced environment and can seamlessly navigate shifting priorities.

Specific responsibilities include, but are not limited to:
Executive Support:
• Provide comprehensive support to the Director of Film, including complex calendar management for internal and external meetings and calls.
• Supporting executives by rolling calls.
• Maintain a highly agile approach to accommodating evolving schedules and priorities.
Meeting Coordination:
• Facilitate logistics and technical set-ups for meetings with internal stakeholders and external partners, including high-profile content collaborators.
• Record and distribute meeting notes to relevant parties, ensuring clear communication across the team.
Travel & Expense Management:
• Arrange and coordinate domestic and international travel itineraries, managing bookings, transportation, and accommodations.
• Process travel and expense reports with accuracy and timeliness.
Project & File Management:
• Help maintain submission logs alongside the creative Coordinator.
• Support the team with the preparation of materials such as presentations, documents, and other deliverables.
Collaboration & Cross-Functional Coordination:
• Partner closely with internal Assistants across UCAN, managing time zones seamlessly, in addition to external partners in the UK.
• Act as the team's go-to expert for internal and external tools and systems.
Special Projects:
• Coordinate and oversee ad hoc projects, including partner gifting and event logistics.
• Liaise with talent and stakeholders, maintaining the utmost discretion and professionalism.
Qualifications & Skills:
Proven Expertise:
• Extensive experience as an Executive or Team Assistant in a fast-paced, high-pressure environment, preferably within film, studio, network, or talent agency settings.
• Strong familiarity with the nuances of film production and management.
Core Competencies:
• Exceptional organizational and multitasking skills, with unwavering attention to detail.
• Adept at managing competing priorities and maintaining calm under pressure.
• Ability to work adjusted hours for coordination across time zones (PST), responding promptly to critical matters.
Technical Proficiency:
• Mastery of Google Workspace tools (Docs, Sheets, Slides, and Gmail).
• Confidence in adopting new tools and technologies.
Professional Attributes:
• Passionate about film and content.
• Strong written and verbal communication skills, coupled with a team-oriented mindset.
• Demonstrated ability to handle confidential information with discretion.
