Looking for an organized, thoughtful, and collaborative individual to support the VP, Global Travel Management in driving strategy and execution of a high-touch, employee and production focused global travel program.
Leveraging the candidate's depth of experience, creative problem solving, and critical thinking, this position will support the Vice President of Global Travel Management in overseeing and managing the global travel program, including travel policy, vendor negotiation and traveler safety and security, with the aim of optimizing costs, compliance, and the travel experience. This individual will participate in contract renewals, service level discussions, and planning with production teams on calendaring events.
The ideal candidate can balance the execution of the nuanced service with the need for efficiency; a self-starter with a service minded approach who can manage and foster relationships across the businesses.
Responsibilities:
Negotiate and maintain supplier relationships:
• Participate in established cadence of RFP reviews with Comcast/NBCU airline, hotel, car rental, bank services, and other travel vendors to ensure desired services are available, as well as to secure best rates and services for the Company;
• Monitor travel partners to ensure travel processes and negotiations are delivered as negotiated and that travel partners are meeting the established SLAs, promoting process enhancements, and advancements as necessary;
• Work closely with travel partners to develop additional savings opportunities, presenting cost savings of both NBCU and travel partners.
• Engage with business units on upcoming large events
• Position may include weekends and overnight support as Events arise
Travel program oversight:
• Promote online booking tool, advance ticket purchases, and buying lowest logical airfare;
• Oversight and maintenance of Global Travel Website aligning T&E Policy and travel partner updates;
• As a relationship partner, support, resolve, and direct inquiries and issues;
• Analyze travel data for trends, areas for cost savings and opportunities for program improvement
• Establish routine cadence to engage with HR and Communication teams, as well as with Business Continuity and Security, for additional insight and learnings.
Ensure Traveler safety:
• Participate in internal meetings and roundtables regarding duty of care with
• Partner with the Human Resource, Global Response and Intelligence (GRIC) and Business Risk and Compliance teams
Qualifications
• Bachelor's degree in business or finance
• 10+ years of experience in travel program management for a global organization in a complex business environment
• Deep understanding of the global travel industry's business ecosystem, operations, technology, and service delivery platforms
• Solid interpersonal, analytical, and solutioning skills
• Demonstrated understanding of complex business model, in the media/entertainment/technology industries
• Experience in a dynamic work environment, supporting both business travel, as well as production and event travel needs
• Experience with Concur travel and expense tool on a global platform
• Proven ability to build partnerships
• Ability to travel up to 25%, if needed
Desired Characteristics:
• Self-starter with a service-minded approach who can manage projects and processes from idea to execution
• Media experience a plus
• Experience managing relationships with travel partners, such as agencies, hotels, car service and credit card servicers
• Calm and organized in a fast-paced environment; able to manage and prioritize multiple project streams at once
• Desire and proven ability to collaborate across business areas and regions to identify and achieve operational and efficiencies with a flexible mindset
• Clear, concise, and empathetic verbal and written communication skills; ability to interface with all levels of traveler as well as travel partners
• Working knowledge of Excel, PowerPoint, AI tools
• Executive presence, ability to interact with executives at high levels to resolve issues or effect changes
• Ability to mentor and lead a remote function or team
• Analytical and problem-solving skills
This position has been designated as hybrid, generally contributing from the office, in New York, NY, a minimum of three days per week.
