Job Description
Responsibilities
This Business Affairs Executive Assistant position reports to one primary business executive for Universal Pictures providing high-level support to the Vice President.

Job Duties:
• Proficiency in Word processing, editing, and proofing correspondence, as well as business and legal documents.
• Prepares simple business documents reflecting negotiated deal terms, corporate information for talent, and contact information for talent agencies and law firms.
• Solicits information from internal and external stakeholders; prepares and distributes documents to high-level executives.
• Manages check requests, documentation and invoice payments for talent and interfaces with creative production executives to track steps and payments per contractual obligations.
• Screens incoming telephone calls and sets business calls including multi-party conference calls.
• Schedules meetings, makes travel arrangements, prepares expense reports, organizes/maintains daily calendar, manages executive's contacts.
• Maintains accurate, up to date digital business files.
• Provides coverage for other colleagues and provides assistance within the department as needed.
• Additional duties as assigned by supervisor.

Qualifications/Requirements
Basic Qualifications:
• Extensive prior experience as an Executive Assistant (preferably in the entertainment industry at a transactional law firm, studio or major production company).
• Strong written and verbal communication, administrative and organizational skills and the ability to manage and balance multiple needs and priorities.
• Advanced proficiency with Outlook, Word, Adobe, Excel and PowerPoint required; proficiency with iManage /WorkSite (or other legal document management programs) desired.
• Ability to manage sensitive matters with a high level of confidentiality and discretion, and perform multiple tasks with excellent attention to detail
