Executive Assistant, Unscripted Production (National Geographic)
Unscripted Production Executive Assistant provides executive and strategic support to the SVP Current Unscripted Production at National Geographic Content. The ideal candidate must be able to tactfully manage SVP's time, prioritize, and communicate with authority and work with SVP on internal and external strategic development. Candidate ideally have a strong knowledge of DGE (Disney General Entertainment) landscape, unscripted television and documentary landscape and an interest in production/storytelling.
Responsibilities
Provides administrative support to the SVP of Production including:
• Manage a highly complex schedule and calendar including creating agendas, distributing, and printing applicable materials, etc.
• Maintain a daily presence in meetings, which includes typing up notes/action steps and distributing to SVP and/or meeting attendees
• Ability to tactfully manage executive's time, to multi-task under tight deadlines, and to communicate clearly and effectively with department, executives, and with key internal stakeholders at National Geographic and DGE
• Highlights priorities for SVP action and review.
• Create Power Point or Keynote decks, reports, and analyses for Executive - these may be daily, weekly, or monthly
• Build relationships with and communicate effectively with other NG departments in order to achieve broader company goals and successful deployment of production team + departmental needs.
• Collaborate with SVP to manage departmental budget/expenses
• Arrange travel plans and create detailed itineraries for Executive
• Preparation of all business-related expenses and invoices, using Concur/SAP travel proxy role in a timely manner and checking all direct reports' expenses are coded appropriately
• Handle executive mail, shipping requests, orders supplies/materials
• Handle in-meeting preparation including occasional hospitality needs like food/beverage as well as general IT support.
• Other admin projects as assigned, including research, creative review and strategic outreach.
• Assists with miscellaneous projects on an as-need basis.
• Help maintain positive team atmosphere including occasional social gatherings (internal/external) and be a positive impact on overall company culture.
Qualifications
• 3+ years Executive Assistant experience supporting Director level or above.
• Maintain standards of strict confidentiality with respect to all matters and documents
• Ability to make independent decisions when handling sensitive and confidential information while exercising good judgment and discretion when Executive is out of the office
• Extremely detail-oriented and organized, with a strong ability to manage multiple high priority projects, and appropriately prioritize work within tight deadlines
• Ability to multitask and deliver under tight deadlines with a calm, professional manner
• Proactively anticipate needs of Executive and manage office time efficiently.
• Ability to maintain an efficient office, files, systems, and information.
• Professional, friendly, easy-going manner to handle varied personalities, responsibilities, and assignments.
• Team player - willing to learn the ins and outs of the production department and various stakeholders to better facilitate duties and requests
• Positive attitude and the ability to be proactive, resourceful, and flexible
• Excellent written and verbal communications and interpersonal skills to assure successful interaction with Senior Executives, as well as business unit contacts and key external partners
• High-level competency in general administrative skills including answering the phone, filing, etc.
• Excellent typing skills with proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Keynote and Outlook for meeting requests and calendaring; ability to adapt easily and to learn internal systems
• Ability to work overtime/odd-hours when necessary
• Candidate should have a strong passion for television/creative media and should be familiar with a variety of industry concepts and practices
• Experience in the entertainment industry (experience working in unscripted/docs a plus)
• Ability to troubleshoot tech issues as they arise
• Overall working knowledge with SAP and Concur systems
Required Education:
Bachelor's Degree
The hiring range for this position in New York is $60,516 to $81,180 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
