Job Description
The Coordinator for Integrated Storytelling and Planning is a highly organized and personable professional responsible for managing the intricate scheduling, communication, documentation, and various administrative tasks for a pool of executives.

The role demands a proactive approach, excellent time management skills, and the ability to anticipate and respond to the executive's needs promptly and efficiently. This individual will be a pivotal support to the Integrated Storytelling and Integrated Planning teams.

Responsibilities:
• Administrative Support:
• Anticipate the VP's needs to ensure smooth daily operations and task management.
• Proactively identify areas where support is needed and take initiative to address those needs.
• Complete and submit expense reports accurately and promptly.
• Book travel accommodations, including flights, hotels, and transportation.
• Generate reports and create presentations as required.
• Set up conference rooms for meetings, including arranging necessary equipment and catering.
• Support the Integrated Storytelling and Integrated Planning teams with ad-hoc administrative tasks.
• Greet and assist visitors with a professional demeanor.
• Communication Management:
• Handle the VP's communications, including responding to emails and taking phone calls in a polite and professional manner.
• Transcribe minutes from meetings and distribute to relevant stakeholders.
• Scheduling and Coordination:
• Manage and maintain the VP's calendar, including scheduling appointments, meetings, and travel.
• Organize and coordinate meetings, ensuring that all relevant information is prepared, such as agendas, materials, and technology setup.
• Provide real-time scheduling support by booking appointments and preventing scheduling conflicts.

Required Qualifications:
• 2+ years experience as an Executive Assistant, Coordinator, or similar role.
• Excellent time management skills with the ability to multitask and prioritize work.
• Outstanding written and verbal communication skills.
• Attention to detail and problem-solving skills.
• Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly.
• A proactive approach to problem-solving with strong decision-making capability.
• Professionalism and discretion in handling confidential information.
• Ability to work independently on projects and as a part of a team.
• Proficiency in Microsoft Office Suite, Google Workspace, and other office productivity tools.

The hiring range for this position in Washington, DC is $52,400 to $70,200 per year and in New York, NY is $54,900 to $73,700 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
