JOB SUMMARY
You will assist the regions Promoter Rep/Production Manager(s) with all show related duties prior to on sale date through event completion. Responsibilities to include employee scheduling and payroll, managing vendor rentals, processing invoices and payment confirmation. Prepare show budgets, forecasts, cash reconciliation and show recaps. Schedule and participate in in person meetings and zoom meetings. Travel to other venues to work with Production Department and help in similar role.
Essential Functions:
• Maintain regular communications with Production Manager(s).
• Must ensure a positive and creative environment for the Production Department.
• Facilitate proper interdepartmental communication and organization.
• Assist and support all production department personnel with job functions as needed.
• Review show riders to advance office and dressing room touring needs.
• Work with production manager(s) to procure all necessary show rental items.
• Liaise backstage directly with tour staff and dressing room coordinators to ensure comfortable working environment.
• Work with the department in scheduling runners and runner vehicles
• Responsible for procuring all required automobile rentals and coordinating required staff assigned to specific vehicles.
• Document and record rental vehicle usage i.e. mileage, fuel costs, maintenance, damage etc.
• Enter Department payroll as outlined by the Production Manager and Payroll Coordinator, develop reports as required.
• Liaise with local caterer to ensure proper advanced communication between all parties.
• Liaise with box office and tour staff to confirm comp tickets and guest list needs.
• Review show budgets and forecast upcoming shows with Production Manager.
• Complete show recaps within 24 hrs of previous show.
• Input and upload vendor invoices to ensure timely payment process.
• Attend production meeting as outlined by the Production Manager to document the discussion of key points and details and make a record of the meeting.
• Work with local IATSE staff to assist in good labor relations.
• Maintain and update all staffing contact information and availability.
• Onboarding of new employees in Workday and tracking and entering payroll in ABI
• Be onsite at Stadium engagements as necessary to assist the Production Department as required.

Job Requirements:
Minimum Requirements:

• Must possess superior interpersonal communication and organizational skills.
• Computer literate in Windows and Apple OS applications (Outlook, Excel, Word, PowerPoint, OneNote, SharePoint, etc.).
• Flexible Schedule (days/nights, late hours, weekends, and holidays)
• Travel to venues in the region as required.
• Ability to manage multiple projects simultaneously
• Must possess superior interpersonal communication and organizational skills
• Previous experience with timekeeping systems
• High proficiency in MS Office, particularly Excel
• Working knowledge of Workday, ABI and ADP Payroll platforms preferred
• Excellent written and verbal communication skills
Preferred:
• College Degree
• 2-4 years Production experience in the entertainment industry.
Physical Demands/Working Environment:
• Must be able to lift up to 60 lbs.
• Extended and long shifts are the norm.
• Moderate to loud level or noise possible in work environment.
• Working environment is fast-paced and sometimes stressful.

The expected compensation for this position is:
$19.20 USD - $24.00 USD Hourly
