Executive Assistant, Office of the President, Marketing (FX)

FX is seeking an Executive Assistant to provide administrative support to the President of Marketing and general support to the Marketing department. The ideal candidate must be accustomed to supporting high-level executives and can manage multiple administrative tasks simultaneously in a fast-paced environment.

The successful candidate will effectively balance changing demands, manage a dynamic schedule, and function well under pressure. Additionally, the Executive Assistant will build collaborative relationships with other executives and assistants throughout the company. A high level of professionalism and confidentiality is required.

Currently, this role is expected to be 4 days a week in the Century City offices and 1 day remote. The team is expected to transfer to Burbank by end of 2025.

Responsibilities:

Provide overall administrative support for a high-level executive including but not limited to:
• Heavy administrative support including maintaining a busy professional calendar and screening/directing phone calls as needed.
• Manage incoming and outgoing correspondence and keep teams informed of changes.
• Maintain files and contact database, manage event invitations, assist with panels and speaking engagement requests, and create and format executive presentations and documents.
• Provide support for the Marketing department including couriering packages, building services requests, tracking script changes, production schedules and spots, and ordering supplies.
• Interact with a wide variety of Disney and external contacts on behalf of the executive.
• Manage all worldwide travel arrangements and trip tracking/oversight (flight, hotel, car, meeting coordination) and all related expense management.
• Coordinate and confirm all calendar matters, including internal and external meetings, establishing conference calls, and coordinating meetings over multiple time zones.
• Coordinate with IT for any tech related needs.
• Understand and intuitively anticipate needs and demands for this key executive role
• Must maintain high level confidentiality.

Basic Qualifications:
• 5+ years of administrative experience, with previous experience supporting a VP or above.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• MAC Proficient.
• Able to work well under pressure and with various personalities tactfully.
• Must be motivated, highly organized, detail-oriented, personable, reliable, self-assured, and able to prioritize work with minimal direction.
• Highly meticulous attention to detail.
• Excellent verbal and written communication skills including demonstrated telephone etiquette skills.
• Ability to assume responsibility, function effectively in team environment or independently, with minimal supervision.
• Demonstrated proactive problem-solving skills, handling multiple concurrent tasks and constant interruptions.
• Willingness to work non-standard, flexible work hours and overtime as needed; ability to serve in an ''on-call'' capacity as needed.
• Professional etiquette and welcoming demeanor with internal and external executives, and guests.

Preferred Qualifications:
• Administrative experience supporting a high-level executive within the entertainment industry a plus.
• Knowledge of the marketing landscape a plus.

The hiring range for this position in California is $70,000 to $93,800 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
