About the Role & Team

This role supports two VP, HR Business Partners, managing daily operations for senior executives. You'll handle essential tasks like expense reports, travel planning, and calendar coordination, while also overseeing key projects, managing timelines, tracking deliverables, and ensuring smooth communication between stakeholders.

Success in this role depends on building strong relationships with your leaders, acting as a trusted partner in decision-making and team success. You'll also need a solid understanding of Walt Disney Television, ABC News, Owned Television, Disney Advertising and other Disney departments.

As the partner with your executives, your professionalism and discretion are key. Each day offers new opportunities to make an impact, from coordinating meetings and managing schedules to handling sensitive information and acting as a liaison between HR and other departments! The ideal candidate is organized, attentive to detail, and excels in communication and interpersonal skills.

What You Will Do

Administrative Support
• Manage HR Executives' calendars, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit various documents, including correspondence, presentations, and reports.
• Organize and maintain both electronic and physical files to ensure easy access and retrieval.
• Handle confidential and sensitive information with the utmost discretion.
• Manage office supplies, subscriptions, and process electronic transactions as needed.
• Support departmental projects and coordinate with building services and other relevant teams to maintain office operations.

Meeting Coordination
• Coordinate and prepare materials for HR meetings, including agendas and presentations.
• Assist in the planning and organization of company events, training sessions, and employee engagement activities.
• Attend meetings to take notes and follow up on action items.
• Monitor conference room activities and update the monthly release calendar.

Communication
• Serve as the primary point of contact for internal and external partners, directing inquiries appropriately.
• Draft and distribute internal communications on behalf of HR Executives and the HR team.
• Professionally liaise with executives, talent, and assistants both internally and externally.
• Draft correspondence for employee communications and address general inquiries.
• Facilitate communication between the HR department and other departments within the organization.

Project Management
• Assist in planning and completing HR projects and initiatives, ensuring timelines, deliverables, and budgets are met.
• Coordinate with team members and external partners to support project success.
• Conduct research to support HR initiatives.

HR Support
• Assist with employee onboarding and offboarding, including answering general employee questions.
• Support employee record management, benefits administration, and compliance with HR policies.
• Contribute to the preparation of HR reports, including metrics and analytics.
• Promote a positive and professional environment, managing executives' time efficiently.

Required Qualifications & Skills
• 3+ years of administrative experience, preferably within a corporate setting.
• Proficiency with both Mac & Windows, including Microsoft Word, Excel, and PowerPoint.
• Exceptional organizational and multitasking skills with a strong attention to detail.
• Excellent communication skills, both verbal and written, with a professional demeanor.
• Ability to work effectively with a wide range of personalities and levels within the organization.
• Ability to prioritize, meet deadlines, and adapt quickly to changing circumstances.
• Experience with SAP is preferred.

Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent written and verbal communication skills.
• Strong organizational and time management skills with the ability to prioritize effectively.
• Ability to work independently and handle multiple tasks simultaneously.
• High level of discretion and confidentiality.
• Familiarity with HR processes and systems is a plus.

Education
• Bachelor's degree in Human Resources, Business Administration, or a related field preferred or equivalent work experience.

Additional Information

Work Schedule
• Required to be in the office 4 days a week and available to work overtime as needed.
• Willingness to work in a hoteling environment.

The hiring range for this position in New York, NY is $67,600 to $90,6000 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
