Coordinator, Events (Disney Branded Television)

We are seeking a detail-oriented and organized Events Coordinator to help the team bring the magical content of Disney Junior, Disney Channel, and Disney+ to vibrant life through innovative, immersive events and experiences. This role will support a wide range of event initiatives, from premieres and red-carpet screenings to employee events and participation in festivals and conventions.

The Events Coordinator will play a key role in ensuring the seamless execution of events by providing essential support to the wider events team. This is an individual contributor role that will report directly to the Director of Events.

Key Responsibilities:
• Provide comprehensive administrative support for all Disney Branded Television event efforts, including scheduling and managing internal and external partner meetings, note-taking, preparing presentations, and maintaining documentation related to events.
• Manage the onboarding process for agency partners, which includes handling title asset delivery, screeners, vendor onboarding legal paperwork, invoice management, and setting up Slack groups to ensure timely delivery of services and materials.
• Assist with guest list management, RSVP tracking, and communication with attendees, as well as support the registration processes and onsite coordination during events.
• Oversee onsite setup, breakdown, and coordination of event activities, addressing any issues or concerns as they arise to ensure events run smoothly and according to plan.
• Create and maintain shared documents, databases, contacts, industry lists, inventory, calendars, and project trackers.
• Facilitate contract creation and routing; work with partners to create requisitions, process payments, and manage event budgets in collaboration with the Director of Events.
• Assist the events team with event coordination during large PR events and other projects as needed by the Director of Events, while also managing multiple tasks and projects.
• Handle various administrative tasks, including managing department meetings, scheduling recurring team meetings, processing invoices, and maintaining event calendars, project decks, and event recaps.

Basic Qualifications:
• 1+ years of relevant experience in a fast-paced agency or events team at a studio/network, working with talent, representatives, and executives.
• Advanced computer skills in Google Workspace.
• Strong interpersonal and communication skills, with the ability to work effectively as part of a team as well as independently.
• Ability to manage multiple tasks and projects simultaneously, with a rigorous attention to detail.
• Must be proactive, self-motivated, and able to work in a fast-paced environment.
• Ability to handle changing schedules quickly and efficiently.
• Willingness to travel based on event needs.
• Ability to work overtime and weekends as needed.

Preferred Qualifications:
• 2+ years of relevant experience in a fast-paced agency or events team at a studio/network, working with talent, representatives, and executives.
• Knowledge of Zkipster or guest management platforms is a plus.
• Experience with Canva and/or photoshop is a plus.
• Passion for kids and family programming.

Required Education:
• Bachelor's degree in communications or related field or equivalent work experience.

The hiring range for this position in Burbank, CA is $51,200 to $70,200 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
