Job Summary:

This position is responsible for providing administrative coordination and support to our Senior Leadership Team to assist in meeting their goals and objectives. The role will assume responsibility for a wide variety of administrative functions, while frequently interacting with functional leaders, managers, supervisors, and vendors. The Administrative Assistant promotes a positive corporate image, prioritizes requests, has strong time management skills, and contributes to the organization's success. Ability to work with confidential and sensitive matters is essential.

Essential Duties & Responsibilities:
• Calendar management for C-Suite level Senior Executives (will be assigned to 1-3 leaders).
• Assist with group meetings, group events, including travel planning, meeting space reservation, large scale Microsoft Teams meetings, equipment requests and catering needs.
• Assist with administrative activities for large scale projects.
• Coordinate the preparation and creation of PowerPoint presentations by creating templates, merging presentations from multiple contributors, and reviewing presentations.
• Create, update, and maintain email distribution lists for the group.
• Interact via phone, e-mail, and in-person with internal and external customers, and determine appropriate course of action, referral, or response.
• Prioritizes conflicting needs, handles matter expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
• Work with complete follow through and initiative when supporting the work of the senior leaders.
• Perform ad-hoc duties as assigned by the Sr. Leaders and management team.

Required Qualifications:
• Strong work tenure with 2+ years administrative assistant experience supporting C-Suite Level Executive(s).
• Associates Degree in a related field required, Bachelor's Degree preferred.
• Highly proficient in Microsoft Office Suite tools (Excel, Outlook, PowerPoint, etc).
• Experience with Senior Leadership calendar management and travel coordination required.
• Proven experience handling confidential information with discretion, adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
• Demonstrated experience taking ownership of projects/initiatives and drive to timely conclusion.
• Experience interacting effectively with senior leadership.
• Experience working in a diverse and inclusive work environment.
• Excellent organizational skills with the ability to prioritize effectively.
• Excellent written and oral communication skills.
• Strong interpersonal skills.
• Professional demeanor and the ability to work independently with little supervision.
• Ability to demonstrate initiative and confidence when completing tasks.
