ABOUT THE ROLE

We are looking for a proactive and highly experienced Coordinator to work alongside our CEO. The ideal candidate will have a keen interest in the digital space and new media.

The ideal candidate is based in Los Angeles. The position is currently temporarily hybrid-remote due to COVID-19. The hybrid-remote arrangement involves working onsite in-person from time to time, as required. This position will be permanently onsite in-person once the studio office resumes regular operations in the near future.

This is a full-time, permanent position, starting as early as March 21, 2022.

Requirements:

Role & Responsibilities
• Track, maintain, and progress CEO's corporate and production initiatives.
• Attend CEO meetings and calls where appropriate to take notes, track follow up, and communicate updates and next steps to team members. This will grow into overseeing and coordinating several initiatives with/for CEO.
• Prioritize and organize agenda items – keep CEO on track and help manage/coordinate internally and externally.
• Travel to appropriate business meetings, sets, festivals, and other events with and/or for CEO.
• Complete a broad variety of administrative tasks including, but not limited to: representing a high level executive in all interactions (internal and external) with poise and tact, answer and screen incoming calls, handle expense reports, proactively managing and coordinating daily schedule and calendar, and travel arrangements.
• Participate in development meetings when requested; provide timely and thoughtful feedback on scripts and potential projects; contribute perspective where appropriate.
• Work closely with senior staff and interface with departments and their assistants.
• Perform internet research about special research projects as assigned including but not limited to compiling data and creating presentations.
• Manage and act as a liaison for communication and the needs of the various departments to the office of the Executive.
• Perform any other roles and responsibilities that are typically required by the Coordinator, Office of Aaron L. Gilbert.
• Perform other tasks and responsibilities as may be assigned in the future.

Qualifications
• Minimum 3 years of experience as an Executive Assistant position for a senior level Executive.
• Keen interest in the digital space (media technologies, merchandising, videogames creation, etc.), as well as media.
• Ability to prioritize and multitask when faced with multiple requests for action.
• Ability to maintain confidential information/documents with high level of discretion.
• Experience working in a fast-paced environment.
• Advanced knowledge of MS Office tools.
• Exceptional organizational skills and ability to prioritize as will be constantly juggling multiple tasks.
• Experience in a similar role is an asset.
• Ability to exercise discretion with sensitive company information.
