Billboard is hiring an Associate Director of Events & Conferences to join the NY or LA-based team. Billboard is the world's most influential music media brand reaching key executives and tastemakers in and around the music business through Billboard Magazine and millions of music fans through Billboard.com and Billboard Events.
The Associate Director will organize and produce signature events for Billboard and events surrounding the brand's key consumer and industry cultural moments. This position will work to develop the overall event experience and production budgets and handle logistics from start to finish for each event across the Live Media/Billboard Events calendar.
In this role, you must be resourceful, a creative thinker, and an experienced event marketing professional. You must have strong hands-on experience planning and executing events in various formats, including consumer-facing, industry summits and forums, and privately sponsored events.
The position requires superior organization, negotiation, writing, and communication skills, as well as managing resources and budgets effectively and creatively. This position reports to the Vice President, Events & Conferences.
Responsibilities:
• Consistently research new venues, event trends, and event vendors; build upon an arsenal of valuable event vendors and contacts as resources
• Budget creation support, submission, and reconciliation with Finance teams
• Set, communicate, and maintain timelines and priorities on event programs
• Manage all internal documents and file system
• Liaise with the design team to create and implement all look and feel; coordinate all on-site event design elements
• Liaise with PR and internal teams to handle invitation correspondence, guest registration, and guest ticketing on platforms such as Ticketmaster, Axs, TIXR, and Ticketweb.
• Manage guest communications, email distributions in relation to events, and event website management
• Assist in the development of branded sponsor integrations, including proprietary events from concept to execution, including venue sourcing, catering, and other specialty elements.
• Manage cross-functional communication with internal stakeholders from editing, sales, marketing, photo/video, finance, and legal.
• Manage event Run-of-Show and staff communication.
• Provide post-event analysis, budget recaps, internal and client feedback and incorporate learning into future event plans
• Track year-over-year data for the Billboard Events team
Requirements:
• 5-7 years relevant experience, preferably containing a mix of PR, communications, ticketing, and Event Production
• Skilled in project management
• Knowledge of ticketing platforms such as Tixr, Ticketmaster, AXS, Ticketweb
• Knowledge of web platforms such as Swoogo, zkipster, Jotform, Salesforce
• Knowledge of KPIs and marketing techniques for event management
• Outstanding communication and negotiation ability
• Excellent organizational skills and ability to problem solve
• Customer service orientation
• Travel required
Typical range: 80K-95k
Factors that could be used to determine your actual salary may include your specific skills, years of experience and comparison to current employees already in this role. The typical candidate is hired below midpoint of the range. The total compensation package for this position will also include other elements, a full range of medical, financial, and/or other benefits including 401(k) eligibility and paid time off benefits.
