Job Summary:
We're seeking a dynamic and proactive individual to join our team as a Department Coordinator, acting as the essential support across all areas of programming and event management. This person will be the glue for the department. This position will literally touch all aspects of the programming and event management processes, serving as essential support across various functions to ensure seamless operations. As Coordinator, Arena Programming you will be the first point of contact for new business inquiries and provide critical administrative, organizational, and financial assistance. You'll manage event files, calendars, and reporting systems, helping to keep the department organized and on track. This position is ideal for someone with excellent communication, organizational, and time management skills, who can handle multiple projects with accuracy and efficiency. The Coordinator, Arena Programming will play an integral role in both independent work and collaborative team efforts, contributing to the overall success of our events and programming.
Administrative - 20%
• Assist the programming team with all departmental duties including administrative tasks, research, and presentations as needed
• Create, organize and maintain online event files
• First point of contact for new business (i.e. filming, concerts, private and internal events)
• Collect insurance and ensure approved coverage for events
Calendar's and Momentus
- 40%
• Create/Maintain/Distribute Avail, Monthly and NBA calendars to internal and external clients
• Assist Programming Specialist with running arena booking system by creating new employee logins; ensuring event times, dates and notes are all current and accurate; place holds and check-in with promoters for updates on holds
• Provide avail requests and date searches for internal and external clients and promoters
Finance and Reporting - 30%
• Create and process payment coding forms
• Assist programming team with gathering pre-lim information for event settlements
• Input final settlement information in Arena P&L sheet
• Maintain the input and upkeep of event statistics spreadsheets
• Gather trade magazine reporting information and submit for events
Other Duties - 10%
• Accumulate and organize information from arena surveys
• Maintain spreadsheet tracking other venue events around the Atlanta area
• Work with team on promoter/artist gift ideas
• Prepare expense reports for department purchases
Requirements:
• Good organizational communication and time management skills required
• Experience with spreadsheets and analytical data a plus
• Ability to manage multiple events, create relationships and meet deadlines required
• Must be a proactive, self-starter with proven initiative in past experiences
• Be a team player and provide support to the department as various needs arise
• Ability to work well independently and as part of a team
• Proficient in Microsoft Office (Word, Excel, Publisher, Power Point)
Preferred Qualifications:
• 1 to 3 years of experience and/or undergraduate degree in Marketing, Communication, Business or relevant field required
• Previous internships in entertainment industry preferred
Working Conditions:
• Environment: Office setting, with occasional travel for meetings or events
• Hours: Full-time, typically Monday to Friday, with flexibility to occasionally work events (nights holidays and weekends) as needed
