Coordinator, Event Services

Job Purpose

The primary focus of this position is to manage the day-to-day operations of various activations and setups throughout the ballpark on D-backs game days, D-backs internal events, and Concerts. This role also manages stadium room reservations year-round.

Primary (Essential) Duties:

Daily
• Book and manage daily room reservation requests around the ballpark.
• Create and distribute setup sheets for all home games and internal events.
• Work with all departments to streamline event needs and stadium details.
• Manage and assign all tabling locations around the concourse for all D-backs games.
• Organize on-site parking arrangements, including buses, and street closures.
• Partner with Turf & Grounds department to book all on-field usage and set-ups for internal departments and external groups.
• Weekly
• Conduct Homestand prep meetings with all necessary stakeholders.
• Coordinate pre-game giveaway distribution along with pre or post-game flyer/sample distribution.
• Create and distribute informational one-sheets detailing set-up and staffing requirements for special events to appropriate parties.
• Coordinate staffing needs for special events.
• Prepare and distribute information received from Facility Ops, Game Ops, Corporate Partners, Community, Group Sales, Suite Sales, Promotions, etc. on Event Setup Sheets.
• Conduct a post-event walkthrough to ensure all items have been removed and stored properly.

Monthly
• Order equipment for events as needed.
• Work with game operations and group sales staff to determine logistical aspects for all group sales events.
• Submit event permits as needed.
• Keep the internal event calendar up to date.

Annually
• Attend forklift certification classes.
• Attend CPR certification classes.
• Participate in pre-season informational and planning meetings with all departments.
• Conduct off-season debriefs with all departments.

Special Events
• Fireworks (post-game) per annual schedule provided by Marketing.
• VIP activations for concerts
• Pre-game Yoga on the Field, Play Catch on the Field, Large National Anthems, Performances of the game

Budget Responsibilities
• Develop event estimates as needed.
• Settle all event events promptly.
• Helps develop the Event Services segment of the Guest Services annual budget.

Knowledge, Skills and/or Abilities
• Exhibits a strong work ethic and excellent follow-through.
• Be able to handle time-sensitive requests/changes, in a fast-paced high-pressure situations.
• Exhibit strong decision-making skills.
• A professional, friendly, and outgoing personality.
• A flexible schedule with the ability to work evenings, weekends, and holidays.

Experience/Education Requirements
• 2-3 years of event management experience preferred
• A bachelor's degree
• Proficient in computer skills (knowledge in Excel, Word, Access, and PowerPoint)

Working Conditions and Physical Demands

While performing the duties of this job, the employee must be able to:
• Lift 25 pounds.
• Lift 50 pounds with assistance.
