Administrative Assistant (Peacock Theater)

L.A. LIVE's Peacock Theater hosts more than 120 music, family, dance and comedy acts, award shows, televised productions, conventions, and product launches with more than 500,000 guests passing through the doors annually.

Located across the street from Crypto.com Arena, the 7,100-seat theater opened in October 2007 with six sold out shows featuring the Eagles and The Chicks. Peacock Theater has since hosted concerts by artists like Alan Jackson, Charlie Wilson, Juan Gabriel, Aretha Franklin, Ed Sheeran, John Fogerty, Gabriel Iglesias, Marc Anthony, John Legend, Neil Young, Kelly Clarkson, Rush, Yanni, Nicki Minaj, Juanes, as well as The ''American Idol'' Finale shows, Michael Jackson's This is It, Straight Outta Compton, The Hunger Games and Twilight movie premieres and more.

Peacock Theater is also home to the Primetime Emmy Awards and BET Awards, and has previously hosted the American Music Awards, ESPYs, Nickelodeon Kid's Choice Awards, People's Choice Awards, Radio Disney Music Awards, MTV Video Music Awards, MTV Movie Awards and a pair of Rock N' Roll Hall of Fame Induction Ceremonies.

Job Summary:

The Administrative Assistant provides administrative support and office coordination with superior customer service to all our clients, both internal & external, to ensure a smooth and efficient workflow. They will proactively anticipate facility and equipment needs based on Event schedules and projects at the theater.

Essential Functions:
• Provide administrative support to the Operations, Production, Guest Services, Security, and Box Office departments by communicating changes from Sr. VP, Operations and Event Production and VP, Production and Events, coordinating facility project schedules, and vendor requests.
• Ensure all documents are finalized and printed for each meeting, including assembling contract documents, letters, agendas, etc.
• Manage and coordinate the receipt and distribution of incoming mail and courier deliveries for full-time theater team.
• Create and maintain a highly organized filing system for building documents.
• Prepare travel arrangements and expense reports for Sr. VP, Operations and Production and VP, Production and Events.
• Schedule and facilitate meetings/conference rooms including catering needs.
• Order and inventory office supplies for various departments to smoothly operate. Ensure all equipment is working properly by calling in service orders for copiers, fax machines and printers.
• Coordinate with full time Team Members on clerical tasks such as ordering phones, computers, and electronic devices.
• Assist Sr. VP, Operations and Production with other special projects and other duties on a case-by-case basis.

Required Qualifications:
• High School Diploma or its equivalency (BA/BS degree preferred).
• Must have 2-4 years of experience in a professional setting.
• Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Google docs.
• Ability to consistently prioritize projects, meetings, and fast-changing schedules, while remaining productive and professional.
• Excellent communication skills, commitment and dedication to job duties, promptness, and timeliness.
• Must be highly organized, resourceful, quick learner, and able to handle multiple projects simultaneously.
• Exceptional guest and client service capabilities.
• Enterprising and self-starter with the ability to work with limited supervision.
• Ability to read, listen, and communicate effectively both verbally and in writing.
• Ability to work non-traditional office hours such as evenings, weekends, and/or holidays, as needed.

Pay Scale: $20.15 - $29.38
