Job Description

Role definition
This role involves liaising with employees and suppliers, to ensure that the office in Prague is coordinated in an efficient and effective manner. The Office Coordinator is accountable for providing an efficient, well maintained, agile office environment with the ability to change with the needs of the business.

Responsibilities
• In charge with all office space related tasks, required office space, parking facilities
• Liaising with the building owner for any problems related to the company's location (air conditioner issues, office access, elevators etc)
• Cooperate with the Security Team in regards maintenance of the office security system.
• Ensuring the efficient use of utilities (eg water supply, electricity) in the office and reviewing the monthly invoices issued by the utilities providers
• Suggesting improvements of the workflow to maximize the efficiency of the operational activities.
• Scheduling the annual Health & Safety training as required by the Labor legislation in force and making sure that all employees are taking the test.
• Ensuring onboarding of new employees and supplying them with access cards, mobile phone.
• In charge with the logistics of internal workshops / team events / celebrating events (Christmas, Women's Day etc)
• Maintaining liaison with the car service / car fleet and making sure that company car related documents/ insurances are valid.

Support for Finance Dept:
• Preparing PO's related to real estate costs
• Preparing fixed assets and inventory items reports
• Preparing the annual budget concerning administrative activities for areas of responsibility and making sure that budgets are adequately spent in a cost-efficient manner
• Ensuring off-site archiving of documents observing the security and required keeping period
• Providing support during internal/external audit depending on requirements

• Problem-solving and basic troubleshooting skills
• Great customer service and interpersonal skills
• Friendly, service-oriented personality
• Strong organisational and finance skills with attention to detail.
• Strong written and verbal communication skills in English and in local language
