The Marketing and Publicity Finance Administrator is a key role within the department providing financial and administrative support for two very busy teams. This role requires an extremely organised self starter who thrives in a highly pressurised environment.
Your Role Accountabilities…
• Monitor the financials of film marketing campaigns, ensuring accurate tracking and alignment with reconciled media plans.
• Investigate and resolve discrepancies between invoices, reconciled plans and POs through effective collaboration with internal teams and external agencies.
• Process goods receipts for marketing POs against reconciled media plans and budgets, ensuring alignment within the team and vendor expectations.
• Raise and manage all POs for the Publicity department in the UK & Ireland, ensuring they are created in advance of publicity activities and services being provided.
• Work with senior leaders and cross-functional teams across the UK, EMEA, and global markets to align project budgets, resolve operational challenges and ensure seamless workflows across finance, publicity, IT, legal and HR.
• Partner with the VP, Publicity UK&I to determine annual publicity budgets for the slate of films, amending and updating where necessary.
• Analyse previous campaign budgets to enhance accuracy in future budget planning and inform decision-making.
• Coordinate with internal and external stakeholders to manage vendor relationships, focusing on procurement compliance and efficient vendor onboarding.
• Collaborate with the events team to set up vendors, arrange upfront payments, and record budgets requiring contributions to ensure project costs are accurately captured.
• Reconcile budgets post-event comparing spend vs actuals, breaking down all incurred costs, and associated POs and highlighting over or underspend.
Qualifications & Experience…
• Experience in a finance administration role is essential, ideally within film distribution, broadcasting or a media environment.
• Advanced skills in Microsoft Excel.
• Strong numeracy skills and attention to detail, ensuring accuracy in financial processes.
• Strong problem-solving skills, with the ability to address complex issues and implement effective solutions.
• Highly organised, with the ability to prioritise tasks and meet tight deadlines.
• Excellent communication and multi-tasking skills, with confidence in managing internal and external relationships.
• Knowledge of systems including SAP, ICampaign, P-Card, Concur, Apex/SPARC, Beeline/FlexTalent would be advantageous.
Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement where this is essential to business needs and upon reasonable notice to you.
