Your New Role
The Legal E-Billing Coordinator's role is designed to be data-driven and provide strategic partnership to the legal department. This Sr Analyst will contribute to building a data infrastructure to understand better how spending is allocated across matters. The Legal E-Billing Coordinator plays a critical role in ensuring accurate and timely processing of legal invoices, maintaining compliance with billing guidelines, and providing financial insights to support decision-making within the legal department.
This Coordinator will proactively seek ways to improve current processes and maximize efficiency within the legal billing group. This Coordinator will collaborate with finance and legal billing, invoicing, matter management experts from across the legal department. This position requires strong analytical skills, attention to detail, and a deep understanding of legal billing processes.
Your Role Accountabilities
• Invoice Review and Processing: Review and analyze legal invoices for accuracy, compliance with billing guidelines, and adherence to agreed-upon rates. Identify and resolve discrepancies, ensuring timely and accurate payment of legal expenses.
• Billing Guidelines Compliance: Maintain a comprehensive understanding of billing guidelines and ensure all invoices conform to company-specific requirements. Communicate with outside counsel to address any billing guideline-related inquiries or issues.
• Financial Reporting and Analysis: Generate and analyze reports on legal expenses, including trend analysis, budget variances, and forecasting. Provide insights and recommendations to optimize legal spend and cost-effectiveness.
• Vendor Management: Build and maintain strong relationships with external law firms and legal service providers. Collaborate with vendors to improve billing processes and resolve any billing-related concerns.
• Process Improvement: Identify opportunities to streamline and enhance legal billing processes for greater efficiency and accuracy. Implement best practices and standard operating procedures to drive continuous improvement
Qualifications & Experience
• Experience with legal billing in a law firm or corporate law department preferred for minimum of five years. BA/BS degree is preferred
• Working experience with CounselLink, SAP, eCounsel, iManage
• Excellent analytical, communication, and organizational skills
• Effective and dedicated support skills and experience
• Attention to detail, ability to handle and prioritize multiple responsibilities at a time
• Keen ability to understand and re-assess on a constant basis the day, week, and year's priorities. Communicate priorities and needs with supervisor
• Ability to work in an environment across time zones across international environments and cultures, and ability to communicate with multicultural groups
