Job Description:
We're looking for a skilled Payroll Lead to manage payroll operations, vendor relationships (ADP), and compliance across the USA. This role involves streamlining payroll processes, training internal teams, driving automation, and ensuring accuracy and compliance with local regulations.
The Payroll Lead will have the following responsibilities:
• Lead weekly, monthly and quarterly business review meetings with the external payroll vendor i.e. ADP. Make recommendations and implement solutions to improve the ADP service in accordance with the contract. Manage the client relationship and act as the main point of contact with ADP.
• Manage and approve the payroll calendar. Coordinate downstream payroll activities with Finance and Treasury, notifying them in a timely fashion of any changes in the payroll process that impact the General Ledger, Banking or other Finance teams.
• Create best-in-class payroll processes for your assigned countries.
Own and document all payroll processes with workplace instructions.
• Ensure the internal processing team is fully trained on all aspects of your country's payroll processes. Upskill and train the processing team at every opportunity to improve data accuracy and service quality. Act in a leadership and local expert capacity for all interactions with the internal processing team.
• Develop tools and self-help guides to maximise employee self-service for payroll. Coordinate case handling with ADP to ensure the vendor can handle as many first line queries as possible (where this service is utilised) and monitor response rates for SLA compliance. Act as the point of escalation for queries that cannot be addressed by the vendor or internally and for complex cases requiring local knowledge.
• Identify, maximise and execute opportunities for automation to reduce manual work taking into consideration business needs.
• Use standard and customized payroll reports, feedback loops, control and anomaly detection solutions and error-handling mechanisms to check all earnings and deductions for your assigned country/countries. Create a payroll checklist for processing teams to check their own work. Ensure all necessary corrections are flagged and processed in a timely fashion.
• Be accountable for, approve and commit the payroll for your assigned countries.
• Provide payroll feedback to HR and Time and Attendance teams to ensure the data flowing downstream into payroll is of the highest quality and accuracy. Support HR and T&A process changes accordingly.
• Coordinate all payroll activities for internal audits, statutory and external audits as well as internal and external controls.
Qualifications
• Significant payroll experience at a managerial or senior processing payroll level
• Expert knowledge in all aspects of payroll, including local taxes, employment laws and compliance in the USA.
• Previous payroll experience in other countries would be advantageous, and the desire to learn payroll in other countries to support local colleagues
• Proven experience working with an offshore ''Shared Service Center'' environment.
• Previous experience of ADP and ideally working with GlobalView and/or Celergo
• Comfortable being a single point of contact
• Ability to prioritise and act with discretion
• Starter-finisher and able to remain self-motivated
• Experience in working in a medium-size matrix organization
• Ability to speak French advantageous
Compensation:
The salary banding for this full-time position is 90,000 - 100,000 USD/Annually along with an annual incentive bonus plan which is a good-faith assessment associated with this position only and pursuant to the State Pay Transparency Laws.
